The Space Planning Analyst is responsible for the administration, maintenance, and continuous improvement of the University's Archibus platform in support of institutional space planning, facilities management, occupancy management, and strategic decision-making. The position serves as the primary steward of the University's facilities and space information systems, ensuring the accuracy, integrity, and availability of space inventory, floor plans, occupancy records, organizational assignments, and related facilities data. Working collaboratively with Academic Affairs, University Health, Facilities, Information Technology, and other campus stakeholders, this position supports space utilization analysis, capital planning, asset management, institutional reporting, and long-range space planning initiatives. The incumbent develops reports, dashboards, and data visualizations; administers system configuration and business processes; conducts data audits; and provides technical expertise to support effective space management practices across the University. The position serves as the University's functional expert for Archibus, leading system enhancements, workflow improvements, data governance efforts, and integration activities that support operational efficiency, regulatory reporting, strategic planning, and evidence-based decision-making. The role exercises independent judgment in identifying opportunities to improve space management processes, enhance data quality, and advance the University's facilities planning capabilities.

Responsibilities

Space Utilization and Planning Analyst, III

Perform data driven space utilization analysis, planning, and operational support to advance the University's academic, research, and administrative missions. Collect, maintain, and analyze space inventory, occupancy, and utilization data to support planning and reporting. Develop space plans, layouts, visualizations, and recommendations using tools such as AutoCAD, Archibus, GIS, and related space planning software to optimize campus space use. Collaborate with project managers to assess space needs and support renovation, relocation, and new construction projects. Considered highly skilled and proficient in discipline. Conduct complex, important work under minimal supervision and with wide latitude for independent judgment.

Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience. Assumes work equivalency (1 year of higher education can be substituted for 1 year of directly related work experience)

Space Utilization and Planning Analyst, IV

Perform data driven space utilization analysis, planning, and operational support to advance the University's academic, research, and administrative missions. Collect, maintain, and analyze space inventory, occupancy, and utilization data to support planning and reporting. Develop space plans, layouts, visualizations, and recommendations using tools such as AutoCAD, Archibus, GIS, and related space planning software to optimize campus space use. Collaborate with project managers to assess space needs and support renovation, relocation, and new construction projects. Recognized as subject matter expert and advanced individual contributor professional. Specialized skill set required. Conduct highly complex work, unsupervised and with extensive latitude for independent judgment.

Requires a bachelor's (or equivalency) + 8 years or a master's (or equivalency) + 6 years of directly related work experience. Assumes work equivalency (1 year of higher education can be substituted for 1 year of directly related work experience)

This position may be filled at either the Space Utilization & Planning Analyst III or Space Utilization & Planning Analyst IV level. Placement will be based on the selected candidate's qualifications, experience, skills, and demonstrated competencies.

Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Space Utilization and Planning Analyst, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.

Space Utilization and Planning Analyst, IV: Requires a bachelor's (or equivalency) + 8 years or a master's (or equivalency) + 6 years of directly related work experience.

Preferences

Preferred qualifications include experience administering Archibus or a comparable facilities management platform; expertise in space planning, utilization analysis, facilities data management, and institutional reporting; proficiency with SQL, Power BI, Tableau, AutoCAD, Revit, BIM, or GIS technologies; experience leading enterprise system enhancements and process improvement initiatives; and experience working within a large, complex higher education, healthcare, or research environment. A master's degree in a related field is preferred.
