JOB SUMMARY

The Senior Account Coordinator manages assigned, high-volume customer accounts by coordinating projects, managing schedules, verifying job details, and ensuring exceptional customer service throughout the project lifecycle.

This position works closely with customers, builders, sales, production, purchasing, installation, logistics, warranty, and other internal teams to support accurate project execution and operational efficiency. This is a customer support and account coordination role focused on service, execution, and relationship management rather than sales or business development.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Build and maintain strong relationships with customers, builders, vendors, and internal teams to support exceptional customer service and successful project execution.
  • Take ownership of assigned, high-volume customer accounts, serving as the primary point of contact and ensuring communication, follow-up, and issue resolution are completed accurately and on time.
  • Coordinate and verify project documentation, including job files, work orders, schedules, product selections, installation requirements, change orders, and related records for accuracy and completeness.
  • Monitor installation schedules, project progress, and job readiness to support timely completion and reduce delays.
  • Collaborate with Sales, Production, Purchasing, Logistics, Installation, Warranty, and other departments to ensure successful project execution.
  • Support onboarding of new builder accounts and coordinate large or complex projects.
  • Communicate and confirm product information, installation requirements, scheduling updates, and warranty processes to customers and internal stakeholders.
  • Identify and resolve customer concerns, scheduling conflicts, and operational issues while escalating complex matters as appropriate.
  • Maintain accurate customer records, pricing information, order history, and project documentation within company systems.
  • Identify opportunities to improve account coordination processes, workflow efficiency, and customer service.
  • Provide guidance, training, and day-to-day support to new or less experienced Account Coordinators.
  • Prioritize multiple projects while meeting deadlines and maintaining a high level of accuracy, follow-through, and attention to detail.
  • Follow company policies and procedures.
  • Other duties as assigned.

Requirements

EDUCATION, EXPERIENCE & QUALIFICATIONS

Required Qualifications:

  • Must be legally authorized to work in the United States.
  • High school diploma or equivalent.
  • Minimum of 3 years of account coordination, customer service, project coordination, operations support, quality, compliance, data accuracy, or related experience.
  • Strong customer service, communication, and relationship-building skills.
  • Experience coordinating multiple projects, priorities, and stakeholders simultaneously.
  • Proficiency in Microsoft Office applications and the ability to learn company software systems.
  • Exceptional attention to detail with the ability to review, verify, and maintain accurate information across multiple accounts and projects.
  • Ability to work independently and collaboratively in a fast-paced team environment.

Preferred Qualifications

  • Experience in flooring, construction, homebuilding, or related industries; industry-specific training can be provided for candidates with strong transferable skills.
  • Knowledge of flooring products, installation processes, and industry standards.
  • Experience supporting builder or multifamily accounts.
  • Experience training or mentoring team members.

Industry experience is helpful but not required. Candidates with strong transferable skills in customer support, coordination, data accuracy, quality, compliance, or other detail-focused work can be successful with training.

  • Positioning: May occasionally be required to bend, stoop, kneel, crouch, or reach while handling files or materials.
  • Manual Dexterity: Frequently operates a computer and other office equipment.
  • Communication: Ability to effectively communicate and exchange accurate information with customers, vendors, builders, and internal teams.
  • Vision: Ability to review contracts, project documentation, schedules, pricing, and customer information with accuracy.
