Job Description

We are seeking a Sr. Administrative Assistant & Office Coordinator to provide general office support, event planning, and administrative support to firm leaders. This is an in-office role (4 days a week minimum, hours to be agreed on based on office needs) located in our Detroit Office. The SR. AA & Office Coordinator will report to the Sr. Administrative Manager, Administrative Resource Team (ART) and Detroit Office leadership.

Office Support

  • Represent the Detroit Office, offering a warm, professional, and welcoming environment for colleagues and visitors; provide reception coverage as needed.
  • Manage office access, assign workspaces, and prepare office communications for visitors.
  • Maintain the aesthetics of the office by organizing and resetting conference rooms and office spaces for a polished atmosphere; coordinate cleaning schedules and maintenance with building management.
  • Order, stock, and maintain office supplies and refreshments.
  • Coordinate office security and emergency protocols with building management.
  • Process office invoices and expenses.
  • Support personnel onboarding and separation processes.
  • Provide basic technical support and troubleshoot issues across platforms (e.g., Teams, Zoom, etc.).
  • Coordinate office equipment maintenance with vendors and Firm personnel.

Administrative Support

  • Provide general administrative support to Firm leaders, including back-up support for colleagues:
  • Expense processing and reconciliation
  • Weekly timesheet submission
  • Coordinate travel arrangements
  • Manage calendars and coordinate meetings
  • Support Firm reporting processes (FOCUS, WIP management, Sustainability reporting, etc.)
  • Support project teams with administrative projects
  • Coordinate and support office activities and events

Qualifications

  • Minimum two years' administrative and/or general office support experience.
  • College degree and/or equivalent experience preferred.
  • Effective communication and collaboration skills, with the ability to build rapport with diverse stakeholders at all levels.
  • Proactive, organized, and detailed style; ability to work independently and manage office support requirements.
  • Strong client-service mindset and a supportive "can-do" attitude, with flexibility to perform a variety of office tasks; availability for occasional support before-and-after regular business hours for office activities and events.
  • Technical proficiency in Microsoft Office Suite; adaptable to learning new technology and AI tools.
