    Job Description:

    GENERAL SUMMARY

    As a Senior Association Coordinator, you will support the Etherio Client - Association for Dental Safety (ADS) - a mission driven association focused on dental infection prevention and safety education and training. The Senior Association Coordinator is a key member of the Etherio Association Management team, supporting the client’s Director of Education. This role is responsible for the association's effective coordination of educational operations and communications, programs, and events. The Senior Association Coordinator works closely with board members, volunteers, staff, and vendors to ensure organizational excellence.

    ESSENTIAL FUNCTIONS

    Learning Management System (LMS) Management

    • Set up and manage online courses, webinars, on-demand learning and other continuing education (CE) offerings.
    • Upload and organize course materials (PDFs, videos, images) within the LMS.
    • Configure quizzes, assessments, instructor profiles, and CE certificates.
    • Assist in conducting user acceptance testing (UAT) for new courses.

    Webinar Management

    • Coordinate and execute webinars (e.g., committee coordination, call for proposals & review process, scheduling, speaker agreements, Zoom setup, CE Course setup in LMS, event calendar setup, speaker support, live moderation, upload recordings to Vimeo and LMS.).
    • Organize and execute industry-sponsored webinars in collaboration with sponsors and corporate members.
    • Track webinar analytics, gather feedback, and prepare reports to support continuous improvement and sponsor relations.

    Website Management 

    • Create and update website content and graphics.
    • Maintain accurate and engaging information on website.
    • Manage custom forms for various association programs. 
    • Track and report website usage data.

    Association and Member Communications  

    • Compose and manage operational communications, including emails, newsletter, social media posts, press releases, blog posts, event promotions, and announcements.
    • Create storytelling opportunities and gather testimonials and images to promote the association and its membership.
    • Respond to all association inquiries through email and phone. 
    • Design and update high-quality visual assets in Canva.
    • Coordinate large-scale creative requests with internal Etherio team
    • Create and schedule all ADS social media accounts.
    • Coordinate marketing committee meetings.
    • Plan and manage the content calendar.
    • Organize, coordinate, and execute 3-4 campaigns/year which may include the annual Dental Infection Control Awareness Month (DICAM) campaign, member recruitment and year-end donation campaign.
    • Coordinate Ad creation and placement in corporate sales flyers.

    Event Support 

    • Assist in the design and production of event signage, name badges, and collateral.
    • Support the setup and maintenance of the event mobile app and website.
    • Provide onsite assistance with event set-up, registration, attendee inquiries, and general logistics.

    General Operations  

    • Support organization reporting and payment processing.
    • Maintain workbook inventory and coordinate product sales and fulfillment.
    • Assist in maintaining the accuracy of the association database.
    • Provide input into client and Etherio Association Management Business Unit operations, processes, procedures, and policies. 
    • Support the overall goals and objectives of the association through additional responsibilities as required.  
    • Operate in compliance with association-specific policies.  

    MINIMUM AND PREFERRED QUALIFICATIONS

    • Bachelor’s degree or equivalent experience.
    • At least 2 years’ experience, ideally in a non-profit or association setting preferred.
    • Understanding of healthcare continuing education (CE) requirements and reporting.
    • Demonstrated achievements in project management, organizational skills, and administrative responsibilities.
    • Excellent oral and written communication skills, with strong interpersonal, presentation, and networking abilities.
    • Proficiency in Microsoft Office (Word, Excel, Teams, SharePoint), and Adobe with the ability to quickly learn and adapt to new software and platforms.
    • Experience with association software (such as MemberClicks) and learning management systems.
    • Skilled with tools like Canva, Zoom, Hootsuite, Vimeo, ClickUp, Google Analytics, and Smartsheet.
    • Proficient in database management and communication systems, emphasizing accuracy and attention to detail.

    WORKPLACE LOCATION REQUIREMENTS

    We operate as a Hybrid work environment, working as a combination of remote and in-office presence, as well as the possibility of being onsite at client and/or event locations.

    TRAVEL REQUIREMENTS

    Ability to travel at least 2 times per year.

    SCHEDULING REQUIREMENTS

    Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.

    • Must be able to remain either in a stationary sitting position for extended periods (such as when working in the office), while also being able to stand and/or move for extended periods (such as when executing events onsite).
    • Need to lift, carry, push, or drag boxes or equipment up to 30 lbs.
    • Frequently moves inside the office to access filing cabinets, office machinery, etc.
    • Need to adapt and function in various physical settings (for example, conference centers, indoor and outdoor spaces).
    • Occasionally required to position self in a stooping, kneeling, or crouching manner.
    • Frequently communicates with others and must be able to exchange accurate information in these situations.
    • Frequently uses computers and other electronic equipment.
