    Description

    Purpose: To provide administrative support to members of the International Specialty Care department. Process organizational and administrative routine tasks for the Specialty department. Responsibilities include all administrative functions of the department: calendar management, scheduling travel, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning, distribution lists management creating or modifying business documents.

    Responsibilities:
    Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site.
    Meetings and travel activities Assist with organizing appointments, sending invitations, booking rooms and venues, arranging catering and other vendors as needed, preparing documents, taking meeting minutes, and following up after meetings.
    Organizing business trips (travel and accommodation) and travel expense claims, as necessary.
    Processing post/mail - Management of incoming and outgoing post for the department.
    Budget - Supports the Specialty team in all administrative matters related to budget control
    Uses advanced software skills to perform work assigned.
    Maintains and updates department distribution lists to ensure accurate and effective communication.

    Qualifications:
    High School diploma or equivalent. Some college preferred.
    5+ years previous admin experience or equivalent.
    Operates with little instruction and minimal supervision.
    Advanced knowledge of Microsoft Office Suite, Adobe Acrobat and Outlook
    Effective communication -written and verbal.
    Planning and organization
    Time management/prioritizing
