Job Summary:
The Materials Management Supervisor will be responsible for managing the day-to-day operations of a large multi-site materials management flow. This role will require a friendly and detail-oriented individual, who is comfortable organizing, handling frequent interruptions and supervising staff.
Major Areas of Responsibility, include but are not limited to:
Supervisory Responsibilities:
- Hires, trains, and supervises Materials Management staff as needed.
- Oversees all activities related procurement of a commodity, from intent to purchase through delivery of commodity.
Duties/Responsibilities:
- Oversee day-to-day office operations of La Clinica’s Materials Management.
- Directs workflow to ensure great customer service is delivered.
- Designs, organizes, directs and controls activities related to procurement functions.
- Maintain the master office calendar.
- Prepares instructions regarding purchasing systems and procedures.
- Organizes, supervises and directs the work of the storeroom and central supply personnel engaged in receiving, issuing and delivering supplies and equipment.
- Evaluates vendor quotations that utilize appropriate negotiation and purchasing techniques to ensure quality, price, delivery, and service.
- Recruits and maintains suppliers that provide high quality products and services at a better price while maintaining the highest code of ethics and conduct.
- Prepares and issues purchase orders and change notices.
- Analyzes market and delivery conditions to determine present and future material availability, and prepares market analysis report.
- Manage systems to achieve the maximum expense and productivity.
- Supervise the work of staff to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems. Provide employees with guidance in handling difficult or complex problems and in resolving escalated issues. Monitor work activities and workload, approve time cards and evaluate performances. Recruit, interview and select employees.
- Relies on extensive experience and judgment to plan and accomplish goals. A wide degree of creativity and latitude is expected.
- Prepares and reviews contracts, bids, proposals and vendor agreements for legal correctness, price and acceptability of items and specifications
- Adheres to the agencies policies and procedures.
- Other duties as assigned by supervisor.

- This individual must be dependable, organized, intelligent, a problem solver, and self-starter with excellent phone etiquette, writing, and computer skills. This position is highly independent and requires meticulous attention to detail and accuracy. Exceptional organizational skills sufficient to prioritize and complete assignments and projects independently, while balancing competing needs and attending to detail.
- Ability to read and comprehend instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Excellent communication and interpersonal skills, demonstrating tact and diplomacy to consistently interact effectively and flexibly with diverse groups of people including executive management, staff, vendors and customers.
- Ability to work effectively both as a part of a team and individually.
- Judgment and prudent exercise of authority in formulating and implementing problem solutions. Ability to exercise judgment and discretion in handling sensitive and confidential issues and documents.
- Must have intermediate level knowledge of Microsoft Word, Excel and willingness to learn new software.
Education and Experience:
- Requires a Bachelor’s Degree in liberal arts or equivalent work experience, plus one-three years related experience and/or training. Related analytical, administrative/reception experience sufficient to perform assigned duties.
Physical Requirements:
- Remaining in a stationary position, often standing, or sitting for prolonged periods.
- Bending/lifting, pushing/pulling, adjusting, or moving objects weighing up to 15 pounds in all directions and occasionally more.
- Repeating motions that may include the neck, wrists, hands and/or fingers.
- Upper extremity demands: Reaching above shoulder and/or below waist.
