Job Summary

The Supervisor, Premium Accounting provides daily operational oversight, coordinates workflows, and delivers hands-on support for all premium accounting workflows, including premium collections, deductible reimbursements, retrospective rating adjustments, receipt processing, disbursements, commission payments, reporting, and audit support. The Supervisor partners with the AVP, Agency Accounting to ensure the day-to-day work is completed, helps ensure service levels and deadlines are

met, and maintains sufficient knowledge of key workflows to provide backup coverage during Manager or employee absences, peak workload periods, and/or other planned/unplanned events.

Essential Job Functions

• Supervise daily premium accounting activities, including workload assignment, prioritization, issue escalation, follow-up, and deadline management.
• Provide day-to-day direction, coaching, and support to Pasadena-based and offshore accounting staff.
• Maintain working knowledge of key premium accounting workflows and provide backup coverage during absences, peak workload periods, and business continuity events.
• Monitor premium collection activities across all U.S. regions and ensure timely follow-up on overdue balances and unresolved items.
• Supervise and support collection efforts related to claim deductibles, including Workers Compensation and Non-Workers Compensation policies.
• Review and support retrospective rating adjustment premium calculations, billing, and collection activities.
• Serve as a liaison between billing operations, underwriters, producers, and internal stakeholders to support accurate premium and commission processing.
• Coordinate with TMNAS IT and business users to resolve billing system issues and maintain workflow continuity.
• Support deductible reimbursement billing activities with underwriters, claims, insureds, producers, and Web Based Client Solutions.
• Provide hands-on backup support for processing premium and deductible receipts received through lockbox, wire, and check payments.
• Review and support weekly disbursement processing for return premiums issued by check or ACH.
• Review and support monthly commission payment processing for direct bill producers.
• Assist with the preparation, review, and validation of monthly collection and accounting reports.
• Support weekly, monthly, and quarterly financial reporting activities for TMNAS Corporate Finance and Treasury.
• Assist with general ledger updates and maintenance for Tokio Marine America Insurance Company, Trans Pacific Indemnity, and TNUS companies.
• Support responses to internal and external audit requests and assist with compliance related to audit, SOX, records retention, and disaster recovery requirements.
• Maintain and update procedures, cross-training materials, and business continuity documentation.
• Identify process improvement opportunities and assist with implementing workflow efficiencies to improve accuracy, timeliness, and service quality.
• Ensure compliance with established internal controls, company policies, and regulatory requirements.

Qualifications

• College degree preferred.
• Minimum of 2 years of experience as an Accounting Supervisor, including supervision of 2–3 direct reports.
• Ability to oversee daily operations, monitor deadlines, review work for accuracy, and appropriately escalate issues.
• Ability and willingness to learn multiple premium accounting processes and provide cross-training and backup support.
• Strong organizational and time management skills with the ability to manage competing priorities and coordinate workloads effectively.
• Excellent attention to detail and commitment to accuracy, timeliness, internal controls, documentation, and compliance.
• Strong verbal and written communication skills with the ability to collaborate effectively across departments and with external business partners.
• Proven ability to coach, develop, and support team members while reinforcing accountability and performance expectations.
• Experience preparing, reviewing, and validating operational, collection, or accounting-related reports preferred.

Salary range $100,000 to $110,000. Ultimate salary offered will be based on factors such as applicant experience and geographic location. Our company offers a competitive benefits package and bonus eligibility on top of base.
