Job Summary
The Talent Acquisition Specialist supports the university's recruitment and hiring processes by coordinating recruitment activities, advising hiring managers and applicants, and facilitating employment transactions from posting through onboarding. The position supports proactive candidate sourcing and recruitment outreach and coordinates assigned employment-related compliance activities to help ensure university practices are timely, consistent, and compliant with applicable requirements.
Duties
- Coordinates recruitment activities, including reviewing position information, preparing and posting job announcements, establishing screening criteria, and developing interview and selection materials
- Partners with hiring managers throughout the recruitment process, providing guidance on recruitment procedures, candidate evaluation, interview practices, selection documentation, and hiring requirements
- Supports recruitment outreach and sourcing strategies to attract qualified candidates through social media platforms, online job boards, professional associations, career fairs, professional networks, and other recruitment channels
- Collaborates with university partners to develop and post recruitment-focused communications and social media content that promotes employment opportunities, enhances the university''s employer brand, and expands candidate outreach
- Serves as a resource to applicants, candidates, and hiring departments by responding to inquiries regarding application procedures, recruitment status, required documentation, and the hiring process
- Reviews recruitment and selection documentation for completeness and compliance; prepares and processes employment offers, appointment letters, background checks, motor vehicle record (MVR) requests, and other pre-employment documentation
- Coordinates pre-employment requirements and onboarding-related hiring activities, working with candidates and hiring departments to ensure timely completion of all requirements
- Maintains accurate recruitment, selection, employment, I-9, and MVR records and utilizes applicant tracking and HR information systems to support recruitment operations, reporting, and compliance requirements
- Coordinates assigned administrative and reporting activities for the university''s Campus Programs for Minors, including tracking required background checks and training, maintaining records, collecting and verifying participant information, and supporting required State of Texas reporting
- Identifies opportunities to improve recruitment processes, candidate experience, sourcing effectiveness, and operational efficiency while ensuring compliance with university policies, applicable federal and state laws, Equal Employment Opportunity principles, and HR best practices

Required Qualifications
Education/Experience:
- Bachelor's Degree in related field or equivalent combination of relevant education and experience
License/Certification:
- Must maintain a valid, current driver''s license
Preferred Qualifications
- Experience supporting full-cycle recruitment or talent acquisition activities, including developing job postings, screening criteria, interview materials, and other recruitment and selection tools
- Experience using applicant tracking systems (ATS), HRIS platforms, LinkedIn, social media, digital advertising, or other recruitment technologies and sourcing tools
- Experience providing recruitment guidance and support to hiring managers throughout the hiring process
- Experience coordinating pre-employment processes, including background checks, employment eligibility verification, and related hiring documentation
- Experience coordinating regulatory, compliance, reporting, or audit-related activities
- Experience supporting programs involving minors, youth protection requirements, background screening, or similar compliance-related programs
- Experience working in higher education, a public institution, or another complex, policy-driven organization, with knowledge of employment laws, equal employment opportunity principles, and recruitment best practices
Knowledge, Skills, and Abilities
Knowledge:
- Knowledge of the recruitment and employee onboarding process and the related trends, issues, and accepted practices
- Knowledge of traditional and digital recruitment methods, including social media and online sourcing platforms
- Proficiency with standard office technology, social media platforms, and the ability to learn and effectively use applicant tracking and HR information systems
Skills:
- Strong organizational skills with the ability to coordinate multiple recruitments, compliance activities, deadlines, and priorities simultaneously\
- Strong interpersonal and customer service skills with the ability to work effectively with hiring managers, candidates, employees, and other stakeholders
- Effective written and verbal communication skills, including the ability to develop clear and engaging recruitment communications
Abilities:
- Ability to review employment and compliance documentation for accuracy, completeness, and adherence to established requirements
- Ability to maintain detailed records and coordinate reporting activities requiring a high degree of accuracy and attention to deadlines
- Ability to exercise sound judgment and maintain confidentiality when handling sensitive employment information
- Ability to interpret and apply policies, procedures, and established employment and compliance requirement
Work Location and Physical Demands
Primary Work Location:
- Works in an office environment, classroom, training room, auditorium, and library environment
Physical Demands:
- Work is performed in a typical interior work environment which does not subject the employee to any unpleasant elements
- Individual has discretion in relation to walking, standing etc., and has minimal exposure to physical risks
- Must have the ability to move items of up to 25lbs
