We are seeking a compassionate, organized, and detail-oriented TMS Coordinator to join our mental health team. The TMS Coordinator is responsible for coordinating Transcranial Magnetic Stimulation (TMS) services, scheduling patient treatments, obtaining insurance authorizations, maintaining accurate patient records, and ensuring a seamless experience for patients throughout their course of care. This role works closely with psychiatrists, providers, and clinical staff to support high-quality patient care.
Key Responsibilities
Coordinate all aspects of TMS treatment scheduling and patient appointments.
Verify insurance benefits and obtain prior authorizations for TMS services.
Educate patients on the TMS treatment process and answer general questions.
Maintain accurate patient records and documentation in the electronic health record (EHR).
Communicate with providers, clinical staff, and patients regarding treatment plans and scheduling changes.
Monitor treatment progress and ensure completion of required documentation.
Track authorizations, treatment sessions, and patient outcomes.
Assist with reporting, compliance, and quality assurance activities.
Maintain confidentiality and comply with HIPAA and organizational policies.
Provide exceptional customer service to patients and families throughout the treatment process.
Qualifications
High school diploma or equivalent required; associate's or bachelor's degree in healthcare administration or a related field preferred.
Previous experience in a mental health, medical office, or healthcare setting preferred.
Experience with insurance verification and prior authorizations is preferred.
Knowledge of Transcranial Magnetic Stimulation (TMS) or willingness to learn.
Strong organizational, communication, and multitasking skills.
Proficiency with electronic health records (EHR) and Microsoft Office.
Ability to work independently while collaborating effectively with a multidisciplinary team.
