Overview We are seeking a detail-oriented and proactive Transactional Legal Secretary to join a dynamic legal team in Irvine. This role offers a competitive salary range of $75,000 to $90,000 and is ideal for a candidate who thrives in a fast-paced transactional environment, providing high-level administrative and client support to attorneys and timekeepers.Responsibilities Provide comprehensive administrative and secretarial support to transactional attorneys and legal staffPrepare, draft, edit, and proofread legal documents including agreements, contracts, leases, and correspondenceManage attorney calendars, including scheduling meetings, conferences, and travel arrangementsHandle client communications with professionalism and a high level of serviceAssist with transactional closings, including organizing signature packets, preparing closing binders, and coordinating final document execution and distributionMaintain client intake processes and ensure compliance with conflict check proceduresInput attorney and staff time entries and prepare expense reportsCoordinate billing processes, including invoicing and follow-up as neededMaintain electronic and physical files in accordance with firm records management systemsManage contact lists and assist with large-scale mailings and distributionsSupport additional projects and overflow work as assignedQualifications Minimum of 3 years of legal secretarial experience, preferably in transactional lawHigh school diploma or equivalent required; additional administrative or technical training preferredStrong knowledge of legal terminology, document formatting, and transactional processesProficiency in Microsoft Word and Outlook required; working knowledge of Excel and PowerPoint is a plusExperience with document management and billing systems such as iManage or Elite 3E preferredExcellent written and verbal communication skillsStrong organizational skills with the ability to multitask and prioritize effectivelyDesired Attributes Self-starter who anticipates needs and takes initiativeHighly organized and detail-oriented with the ability to adapt quicklyTeam-oriented with strong interpersonal and communication skillsProfessional demeanor with a commitment to high-quality client serviceFamiliarity with standard office procedures, including record keeping and document managementAll qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
