Scion Staffing has been engaged to conduct a search for a Trusts & Estates Executive Assistant for a prestigious Am Law law firm. This is a fully onsite opportunity based in Nashville, Tennessee.

POSITION OVERVIEW:

Our client is seeking an experienced Trusts & Estates Executive Assistant to provide high-level administrative and executive support to attorneys within a sophisticated Trusts & Estates practice. This role is responsible for managing attorney workflows, coordinating client communications, preparing estate planning documents, supporting probate and trust administration matters, and ensuring exceptional client service. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced legal environment while handling confidential matters with professionalism and discretion.

RESPONSIBILITIES:

  • Manage complex attorney calendars, client meetings, deadlines, travel, and executive administrative responsibilities while supporting daily practice operations

  • Draft, revise, proofread, and coordinate execution of estate planning documents, correspondence, engagement letters, signature packets, deeds, wills, trusts, and powers of attorney

  • Coordinate probate and trust administration matters, including client intake, conflict checks, deed recordings, annual reports, and tracking filing deadlines

  • Serve as the primary point of contact for clients, beneficiaries, fiduciaries, financial advisors, accountants, and other professionals while providing exceptional client service

  • Prepare attorney time entries, review prebills, coordinate client billing, monitor outstanding balances, and assist with financial administration

  • Maintain organized electronic and physical files while collaborating with attorneys, paralegals, accounting, and records teams to ensure timely completion of client matters

QUALIFICATIONS:

  • 5+ years of executive assistant, legal assistant, or administrative experience within a law firm or professional services environment

  • Prior experience supporting trusts & estates, estate planning, probate, tax, or trust administration practices strongly preferred

  • Strong organizational, communication, proofreading, and client service skills with exceptional attention to detail

  • Advanced proficiency with Microsoft Office Suite, Microsoft Teams, document management systems, and legal timekeeping or billing software

  • Demonstrated ability to manage multiple priorities, maintain strict confidentiality, and work independently in a fast-paced environment

COMPENSATION AND BENEFITS:
