Viewpoint Vista Administrator

Location: Hays Electrical ServicesReports To: PMODepartment: ITEmployment Type: Full-TimePosition SummaryThe Vista Administrator is responsible for the day-to-day administration, configuration, and support of Hays Electrical's Viewpoint Vista ERP system. This role serves as the internal subject matter expert (SME) for Vista, owning system configuration and security while also training and supporting end users across Finance, Operations, and other departments. The Vista Administrator ensures the system runs reliably, data structures remain clean and consistent, and users across the company can work effectively within Vista.Key ResponsibilitiesSystem Administration

• Manage Vista system configuration, including security roles, user access, and permissions across multiple companies/entities
• Maintain and administer core setup areas: GL structure, chart of accounts, departments/cost centers, and company configurations
• Monitor system health and performance, troubleshoot issues, and coordinate with Viewpoint support or implementation consultants as needed
• Manage workflows, approval hierarchies, and module-specific configurations across AP, AR, Payroll, HRIS, Job Cost, Equipment, Inventory, and Project Management
• Lead testing, rollout, and change management for system updates, patches, and enhancements, minimizing disruption to daily operations
• Provide tiered (Tier 1–3) troubleshooting and support, resolving day-to-day user issues and escalating complex problems as needed

Reporting & Integrations

• Support and maintain integrations between Vista and other business systems (payroll/HR, BI/reporting platforms, etc.)
• Partner with the Analytics/BI team on data extraction, reporting needs, and resolving data quality issues at the source
• Assist in troubleshooting data discrepancies between Vista and downstream reports or systems

Training & SME Support

• Serve as the go-to internal expert on Vista functionality, best practices, and troubleshooting
• Develop and deliver training materials and sessions for new and existing users across departments
• Provide ongoing end-user support, fielding questions and resolving issues related to day-to-day Vista use
• Document standard operating procedures for key Vista workflows and configurations
• Act as a liaison between end users and IT/consultants on system issues, enhancement requests, and upgrades

Continuous Improvement

• Identify opportunities to improve data structures, workflows, and system efficiency
• Partner with Finance, HR, Operations, and leadership to streamline processes across departments
• Support remediation and structural improvement initiatives (e.g., chart of accounts cleanup, department/cost-center restructuring)
• Develop, audit, and maintain data standards to ensure accuracy and consistency across business units
• Stay current on Vista releases, features, and industry best practices for construction ERP administration

QualificationsRequired

• 3–5+ years of hands-on experience administering Viewpoint Vista, ideally in a construction, electrical contracting, or field-based services environment
• Strong understanding of core accounting/financial structures (GL, chart of accounts, job costing, departments/cost centers) and payroll workflows
• Working SQL skills, with the ability to write queries to investigate and resolve data issues
• Experience with reporting tools such as Crystal Reports and/or SSRS
• Experience training end users and creating documentation/procedural guides
• Strong troubleshooting and problem-solving skills; proactive and detail-oriented
• Excellent communication skills, with the ability to explain technical concepts to non-technical users

Preferred

• Bachelor's degree in Information Systems, Business, Accounting, or a related field
• Experience administering Vista across multiple companies/entities
• Familiarity with Vista integrations (payroll/HR systems, BI/reporting tools such as Power BI)
• Experience supporting or participating in an ERP implementation or remediation project

What Success Looks Like

• Vista system configuration is clean, well-documented, and aligned with company structure
• Users across departments are confident and self-sufficient in Vista, with training materials kept current
• System issues are resolved quickly, with minimal disruption to Finance and Operations
• Data flowing out of Vista into reporting/BI tools is accurate and reliable
