The University of Evansville (UE) is seeking an enthusiastic, detail-oriented Youth Programs & Special Events Coordinator to facilitate our campus-based outreach initiatives. This role is a vital link between the University and the broader community, ensuring that our youth programs, summer camps, conferences, and facility rentals are executed with excellence, safety, and a welcoming spirit.

This position is a unique opportunity to help shape the campus experience for thousands of guests. You will collaborate with faculty, staff, and community partners to manage the logistical lifecycle of events, from initial registration and facility scheduling to on-site operations and final reporting.

Key Responsibilities

The Youth Programs & Special Events Coordinator balances high-level administrative planning with on-the-ground event execution. Your main duties will include:

  • Logistical Oversight: Manage the end-to-end coordination of registrations, participant communications, housing assignments, transportation, catering, and facility scheduling.
  • Operational Compliance: Support the implementation of youth protection requirements and maintain meticulous participant records and compliance documentation.
  • Financial & Vendor Management: Coordinate contracts, billing, purchasing, and ongoing communication with external vendors.
  • Event Execution: Provide active operational support during programs and events; supervise and coordinate student employees and temporary event staff.
  • Stakeholder Collaboration: Act as a central point of contact for internal campus departments and external community partners to ensure seamless event delivery.
  • Data & Reporting: Maintain accurate records and assist leadership with operational assessments and reporting.

Required Qualifications

  • Education: Bachelor's degree required.
  • Experience: 1-3 years of relevant professional experience in event planning, program coordination, or a related field.
  • Organization: Superior project management skills with the ability to juggle multiple priorities and strict deadlines.
  • Communication: Exceptional customer service and relationship-building abilities; comfort working with diverse groups, including students, families, and professionals.
  • Technical Skills: Proficiency in Microsoft Office Suite and the ability to learn event/registration management software quickly.
  • Availability: Flexibility to work occasional evenings and weekends as required by the event calendar.
