Please note, this position will initially work at our San Jose, CA location on an interim basis pending the reopening of our Mountain View site. This role will support the front desk to include patient registration, scheduling, insurance verification and other medical office duties. The scheduled hours are Monday-Friday, 8:00am-5:00pm. What You'll Do <ul><li>Manages calendar for internal/external meetings </li><li>Creates original Word documents and PowerPoint Presentations </li><li>Handles administrative duties including but not limited to: answering incoming calls, copying, binding, opening and routing mail, electronic and standard file management, including contact directory, and correspondence drafting </li><li>Event planning and coordination </li><li>Looks for ways to improve and promote quality; demonstrates accuracy and thoroughness </li><li>Ability to identify and solve problems in a timely manner; gathering and analyzing information skillfully, developing alternate solutions </li><li>Exceptional interpersonal skills; listening skills are essential while remaining open to other ideas and trying new things </li><li>Conducts self with professionalism and in a tactful manner, treating others with respect and consideration </li><li>Follows through on commitments </li><li>Strong customer service orientation, responding quickly and appropriately to customer needs, and managing difficult or emotional situations </li><li>Demonstrates ability to perform and maintain Annual Competencies </li><li>May require other duties as assigned </li></ul>What You'll Bring<ul><li>One year certificate from college or technical school with concentration in front office support for medical settings </li><li>At least three years' experience providing administrative support in a clinic or office setting </li></ul> Work-life balance is at the foundation of how decisions are made and where Premise is headed. The Health Center Concierge will assist patients from the moment they walk into the health center and is responsible for the overall patient flow as well as experience.Summary: This Full-Time Office Manager will work at our Employer Health Clinic in Orlando. This position will work 8 hour shifts Monday-Friday, alternating weekly schedules of 7 AM - 3:30 PM and 10:30 AM - 7 PM. This role will also need to be available for on-call shifts 1 out of every 5 weekends, as well as 1-2 Holidays throughout the year.Essential Job Functions <ul><li>Organize and maintain a filing system for patient charts, including generating chart numbers, filing and pulling charts.</li></ul><ul><li>Manage daily operations, workflow, work schedule, timecard monitoring and ensuring appropriate staffing levels and monitoring overtime for an effective and efficient front office.</li></ul><ul><li>Orient and train new front office staff.</li></ul><ul><li>Oversee site specific identification badging process.</li></ul><ul><li>Manage the Performance Evaluation (PMP).</li></ul><ul><li>Coach and provide feedback to staff on a regular basis.</li></ul><ul><li>Review all medical records release requests and refers to appropriate department per Premise Health Procedure.</li></ul><ul><li>File occurrence reports as necessary.</li></ul><ul><li>Support adherence to Premise Health policies and procedures.</li></ul><ul><li>Ensure billing and reconciliation for services rendered and for monthly statements and collections.</li></ul><ul><li>Manage petty cash and credit card reconciliation.</li></ul><ul><li>Support front desk staff by assisting with phones, making appointments, greeting and directing patients and visitors, registering patients, etc.</li></ul><ul><li>Coordinate referrals for patients when necessary.</li></ul><ul><li>Ensure office equipment maintenance is current and properly maintained per manufactures instructions and document appropriately.</li></ul><ul><li>Assist Health Center Manager with clinical scorecards and site audits i.e. gap analysis and action plans when appropriate.</li></ul><ul><li>May require other duties as assigned.</li></ul>EducationBASIC QUALIFICATIONS <ul><li>Bachelor’s degree or equivalent work experience required.</li></ul>Experience <ul><li>3+ years of management experience within the health care industry preferred.</li></ul><ul><li>Direct management experience over 10+ employees</li></ul><ul><li>Experience with electronic medical records preferred</li></ul>Knowledge and Skills: <ul><li>Knowledge of principles and processes for providing customer and personal services.
