The Dungeness River Nature Center (River Center) is seeking an organized, detail-oriented, and team-driven Office Administration Coordinator to join our dynamic and collaborative work environment. Located in Sequim, WA, the River Center operates a 6,500 square-foot facility within the 70-acre Railroad Bridge Park, featuring interpretive exhibits, classrooms, event spaces, trails, and visitor amenities along the Olympic Discovery Trail. As a 501(c)(3) nonprofit, the River Center partners with the Jamestown S’Klallam Tribe, Olympic Peninsula Audubon Society, and National Audubon Society to inspire understanding, respect, and stewardship of natural and cultural resources.As a key member of the team, the Office Administration Coordinator works with staff, Board members, partners, and the community to coordinate efficient daily office operations and maintain business services, records, assets, and supplies. This role manages purchasing of general supplies and services, processes incoming revenue and outgoing disbursements, and supports internal financial controls. The coordinator also assists with human resources processes, administers staff access to organizational systems, and ensures a high level of service for all internal and external customers by fostering a welcoming and professional environment.Essential FunctionsAdministrative:<ul><li>Manage licenses/permits and renewals for ongoing or recurring operational functions, including reseller, non-profit organization, and charity permits</li><li>Monitor contract service providers related to long-term DRNC programs, projects, and services including concessions, accounting, and park hosts</li><li>Monitor quality and quantity of general office supplies and equipment; purchase resupply, repair, or replacement as needed in accordance with policy</li><li>Manage business services and purchasing logistics</li><li>Monitor accounts payable and allocation of expenses and income</li><li>Assist Jamestown S’Klallam Tribe with human resources processes as needed, such as logistical aspects of staff onboarding and offboarding</li><li>Assist in management of databases (e.g., CRM) and software platforms throughout DRNC operations; administer systems access in accordance with policy and/or as directed by the Executive Director</li><li>Coordinate and communicate general maintenance and/or IT work requests with partners</li><li>Oversee compliance with DRNC Record Retention Policy, ensuring that all document files are well organized and that staff are trained in policy expectations</li><li>As assigned by the Executive Director, assist the Board Secretary with administrative duties including maintaining records, scheduling meetings, maintaining contact lists, and tracking board terms</li><li>Draft and type various forms, memos, letters, and reports</li></ul>Other:<ul><li>Support event and/or committee activities as assigned</li><li>Staff the DRNC front desk when necessary</li><li>Serve as backup point of contact for visitors and volunteers as needed</li><li>Participate in on- and off-site public outreach events as delegated</li><li>Adhere to all Jamestown S’Klallam Tribe policies and procedures, including safety standards and work practices outlined in the Occupational Exposure Control Plan</li><li>Perform additional duties as assigned by the Executive Director</li></ul>Requirements<ul><li>High school diploma or equivalent required</li><li>Four (4) years of experience and/or postsecondary education in business administration, communications, non-profit administration, public administration, accounting, or a related field</li><li>Ability to perform a variety of computer-based administrative competencies</li><li>Strong computer skills, experience working with databases, and proficiency in Microsoft Office Suite</li><li>Proven experience working with financial records and providing reports to management about projects</li><li>Excellent interpersonal and communication skills</li><li>Effective time-management, decision-making, and problem-solving skills</li><li>Excellent organizational skills and the ability to prioritize multiple tasks</li><li>Capability to provide a high level of customer service at all times</li><li>Ability to exercise good judgment in the presence of DRNC visitors and problem solve on the spot; maintain a consistent professional manner with the public and staff; work with multiple partners and Jamestown S’Klallam Tribe departments while remaining flexible with last-minute changes</li><li>Ability to work collaboratively in a team-oriented environment</li><li>Ability to effectively manage change</li><li>Ability to travel locally and regionally as assigned</li><li>Valid driver’s license</li><li>Must be able to successfully pass a criminal background investigation</li></ul>Preferred Qualifications<ul><li>Bachelor’s degree in business, communications, non-profit administration, public administration, accounting, or related field preferred</li><li>Knowledge of, interest in, or appreciation of the natural and human history of the North Olympic Peninsula and Pacific Northwest</li><li>Passion for the outdoors, environmental conservation, and/or environmental education</li><li>Experience working or volunteering for a mission-driven, non-profit organization preferred</li><li>Additional background in first aid and emergency response is desirable</li></ul>

The Office Manager’s work is focused on supporting Watershed Council working committees, providing administrative support for grant billing and other tasks, and managing office records and the office space. The Office Manager supports the Skagit Watershed Council (SWC) in the implementation of salmon and steelhead habitat recovery efforts in the Skagit and Samish watersheds.

Position Title:            Office ManagerSalary Range:            $26.77 per hour, 0.75 FTE (30 hrs/wk) with competitive benefits  <h2>Position Summary</h2>The Office Manager supports the Skagit Watershed Council (SWC) in the implementation of salmon and steelhead habitat recovery efforts in the Skagit and Samish watersheds. The Office Manager’s work is focused on supporting Watershed Council working committees, providing administrative support for grant billing and other tasks, and managing office records and the office space. This position works closely with the Executive Director, other SWC staff, and committee chairs. It requires excellent communication and organizational skills, including the ability to work collaboratively with diverse individuals and interests. <h2>Key Responsibilities</h2><h4>Meeting & Event Coordination</h4>•       Provide administrative support and coordination for SWC meetings in collaboration with meeting chairs, the Executive Director, and staff.•       Help prepare agendas, meeting packets, and other materials.•       Take and distribute meeting minutes as needed.•       Act as elections official for Council of Members meetings.•       Plan, coordinate, and manage logistics for major events including the Annual Lunch and quarterly Members meetings.•       Assist with committee and board meeting scheduling, materials preparation, and follow-up.<h4>Membership & Communications Support</h4>• Maintain and update membership rolls. • Track member participation and assist with membership communications. • Provide customer service and support to members, partners, and the public. • Help maintain the organization’s shared contact lists, email lists, and outreach materials.<h4>Financial & Grant Administration</h4>•       Assist with billing, invoicing, and expense tracking for grants and organizational accounts.•       Support the Executive Director and other staff with budget documentation and reporting.•       Coordinate with accounting contractors/vendors on documentation and compliance.<h4>Administrative & Office Management</h4>•       Maintain and organize office space, supplies, and equipment to ensure smooth day-to-day operations.•       Manage the organizational calendar, including scheduling meetings and events.•       Maintain organizational records (electronic and physical), ensuring accuracy, accessibility, and compliance with record-keeping policies.•       Preserve and update the history of the organization.•       Support the Executive Director with special projects as assigned. <h2>Minimum Qualifications</h2>Ø Three years of experience showing proficiency in providing administrative support for meetings and managing information and records.Ø Proven success in working independently and with diverse individuals.Ø Excellent verbal and written communication skills.Ø Demonstrated proficiency in Microsoft Office Suite, including TEAMS.Ø Valid driver’s license and insured, personal vehicle. <h2>Preferred Qualifications</h2>Ø Familiarity with the Skagit Watershed and/or salmon recovery efforts in WA State.Ø Basic bookkeeping skills.Ø A bachelor’s degree in a natural resources field. The work location is at the organization’s office at 815 Cleveland Avenue, Suite 201, Mount Vernon and at various meeting locations throughout Skagit County.
