Overview:
The Phase 1 Curriculum Administrator is responsible for the overall management and coordination of tasks associated with the high functioning of the medical education program related to Phase 1 of the curriculum.  The administrator will work collaboratively with the members of the UME Office, Education Technology, the Office of Assessment and Evaluation, as well as module, course, Phase 1 directors, program administrators, and students. 

Responsibilities:
Overall administrative support for the Assistant Dean of Basic Sciences and Phase 1 Co-Directors, including: <ul><li>Management of the SOM Year 1 and Year 2 homepages on the learning management system </li><li>Schedule meetings as required to support Phase 1 curriculum delivery </li><li>Quarterly module director meetings </li><li>Module specific planning meetings for module planning and implementation </li><li>Other meetings as required</li></ul>Support Phase 1 directors, module directors, including Intersession Director, in curriculum delivery and administration, including: <ul><li>Preparing curricular material as requested by module directors </li><li>Assisting module directors with organization and coordination of teaching schedules </li></ul>Managing space reservations for all educational sessions and placing information in campus:<ul><li>Resource scheduler </li><li>Communicating with teaching faculty regarding schedules </li><li>Maintaining up-to-date teaching faculty information </li><li>Uploading curricular material into the learning management system </li><li>Monitor annual faculty attestation completion </li><li>Other duties as requested </li></ul>Provide central oversight and ongoing monitoring of required course evaluations and assessments in learning management system, ensuring compliance with policy:<ul><li>Review student grade reports in learning management system and ensure reports are complete and that narrative comments, where required, are included and comply with institutional policy </li><li>Ensure student grade reports are forwarded to the Registrar's Office and uploaded to the students’ portfolio in compliance with institutional policy </li><li>Create monthly reports on grade submission for courses to ensure compliance with accreditation requirements </li><li>Tracking and monitoring student attendance and absence across Phase 1 </li><li>Tracking and monitoring Professionalism behaviors across Phase 1 </li><li>Assist Ed Tech in coordinating and administering computer-based assessments. </li><li>Serve as examination proctor when required </li></ul>Support Chair of Phase 1 Curriculum Subcommittee:<ul><li>Compile agenda and distribute materials for monthly meetings </li><li>Record and document minutes for monthly meetings </li><li>Monitor annual attestation completion </li></ul>Provide general office support to the UME Office, including: <ul><li>Greeting visitors to the UME Office </li><li>Monitoring and answering emails and phones and triaging to appropriate individuals </li><li>Schedule meetings as requested </li><li>Support for curricular programs managed through the UME office (e.g., Transition Course, Intersessions) </li></ul>Additional administrative tasks of the UME office as needed.

Qualifications:
Education requirement: Bachelor’s degree  Technical/computer skills:<ul><li>Proficiency in Microsoft Office Suite, Outlook, Word, Excel and PowerPoint  </li><li>Agility in learning new computer applications </li><li>Experience with online learning management systems preferred </li></ul>Prior experience: 3-5 Years in higher education administration  Physical demands: Routine office work Environmental demands: Routine office work

Basic Qualifications: * Experience managing multiple projects at once working with course developers, customer stakeholders and subject matter experts do deliver effective training. * Experience developing training programs that exhibit end-to-end thinking (strategy, scope, analysis, budget estimates, prioritization, planning, attention to detail, organizational skills, and ability to manage multiple projects/tasks). * Apply industry-recognized instructional design methodologies, such as ADDIE and adult learning, to ensure the development of high-quality training products. * Collaborate with subject matter experts to design and develop training content, including instructor-led training, online courses, and upskilling materials. * Experience and ability to manage a large volume of projects and deliver a high degree of accuracy and timely delivery. * Ability to handle multiple tasks/actions by prioritize, manage disruptions and completing tasks in a timely manner; ability to assess appropriate urgency with tasks. * Superior interpersonal, written, and verbal communication skills Desired Qualifications: * Experience developing learning strategies based on consultancy outcomes, training programs, and curriculum development. * Experience providing learning design guidance and support to team SMEs on the implementation of best practices for learning design. * Google Suite, MS Office, Articulate Suite (articulate 360, Rise), TechSmith Suite (Camtasia, Snag it), Evolve, Adobe Suite (InDesign, Captivate), Atlassian Suite (Confluence, Jira, Trello). * Experience producing company-wide and program-level training solutions. * Experience with developing methods for the evaluation of learning & training program effectiveness. * Ability to understand technical material, processes, and cultures for purposes of learning & training solutions. * Experience in identifying, managing complex group dynamics, and reacting in real-time to changes in content, priorities, and/or process.
