SUMMARY  A Front Office Specialist is trained to act as the first point of contact, setting the tone for a world class Total Patient Experience. This employee will also perform the necessary administrative responsibilities needed to create a smooth check-in/out experience for patients.  LOCATION <ul><li>Work is primarily performed in a standard office or clinical setting. However, travel to other locations may be required to carry out essential job duties and responsibilities </li></ul> ESSENTIAL DUTIES AND RESPONSIBILITIES <ul><li>Embrace and execute our Total Patient Experience to build relationships with all patients while delivering great service and support. </li></ul><ul><li>Provide exceptional customer service during every patient encounter (in person or via phone). </li></ul><ul><li>Display a professional attitude, greet patients promptly with a smile, and thank them when they leave. </li></ul><ul><li>Answer phones (both external and internal); assure prompt, courteous service at all times. </li></ul><ul><li>Practice urgency at all times with consideration to the patient's time, as well as doctor's time and schedule. </li></ul><ul><li>Double check insurance authorizations to ensure completion and build accurate flow sheets. </li></ul><ul><li>Check out patients and collect correct payments according to procedures. </li></ul><ul><li>Manage patient flow in the office and ensure communication to maximize efficiency and customer service. </li></ul><ul><li>Complete daily reconciliations / close day / countdown cash drawer. </li></ul><ul><li>Comply with all company policies and procedures, including HIPAA. </li></ul><ul><li>General office duties and cleaning to be assigned by the manager. </li></ul> QUALIFICATIONS <ul><li>Previous medical office experience preferred; previous ophthalmic experience strongly preferred. </li></ul><ul><li>Minimum of 1 year in a position interacting with customers/patients or the equivalent combination of education and experience </li></ul><ul><li>Favorable result on background check as required by state </li></ul><ul><li>Must be able to provide proof of identity and right to work in the United States </li></ul> EDUCATION AND/OR EXPERIENCE <ul><li>High school diploma or GED required </li></ul> LICENSES AND CREDENTIALS <ul><li> None </li></ul> SYSTEMS AND TECHNOLOGY  <ul><li>Proficient in Microsoft Excel, Word, PowerPoint, Outlook </li></ul> PHYSICAL REQUIREMENTS <ul><li>This role requires a variety of physical activities to effectively perform essential job functions. The position involves frequent walking (75%), sitting (50%), and standing (50%), with regular bending, stooping, and reaching (25–50%). Employees must be able to lift, carry, push, and pull items up to 25 lbs. Strong fine motor skills and full use of hands are essential, as the role demands constant grasping, writing/typing, and use of technology. Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—is required 100% of the time.
