Prepare annual indirect budget with Executive Directors.</li><li>Budget lead for market, working with development and support staff.</li><li><ul><li>Liaison to the regional Business Ops Department.</li><li>Check and cash handling for all events.</li></ul></li></ul>Business Operations Responsibilities <ul><li>Serve as liaison to the SE Region Business Operations Department as it relates to the management of the office/facility maintenance.  </li><li>Create a safe, functioning work environment that supports the needs of all employees and volunteers, with appropriate resources and organization.</li><li>Effectively responds to internal and external inquiries in the community.</li><li>Point of contact for the Knoxville team.</li><li>Manages and maintains Knoxville facility, mail, office operations, office equipment, and supplies in accordance with contracts, agreements, and quality standards. Work with regional staff on any needs for major building repairs, office furniture, etc., including obtaining local bids and submitting them to the office.</li><li>Order general office supplies, oversee upkeep, and handle general American Heart Association items such as Annual reports and office materials, and advise when materials are outdated.</li><li>Assist the Executive Director with the Knoxville Board of Directors preparation, meeting management, Gold Standard Board data entry related to board activity, attending quarterly meetings, and providing minutes. Support large-scale meeting scheduling within the market as needed for key sponsors and collaborations.</li><li>Support Community Impact special projects as needed, including submitting check requests and managing budgets and clerical needs for local grants in the Knoxville region.</li><li>Attends fundraising events in Knoxville to provide logistical support, as needed.</li><li>Plans and prepares weekly, periodic, and special reports and meeting minutes for the market as needed. This role is responsible for maintaining the donor database, managing acknowledgments and member communications, and providing key support for fundraising campaigns, events, and membership activities. Represent the Bijou Theatre at community events and networking opportunities to build relationships with current and prospective donors, partners, and supporters.

The Development Coordinator works closely with both the Executive Director and the Director of Development to advance the Bijou Theatre’s fundraising and donor engagement efforts. This role is responsible for maintaining the donor database, managing acknowledgments and member communications, and providing key support for fundraising campaigns, events, and membership activities. The ideal candidate is highly organized, detail-oriented, and enthusiastic about building meaningful relationships. Strong customer service and written communication skills are essential, as this position involves regular interaction with donors and theatre patrons. Responsibilities: Database & Donor Management<ul><li>Maintain and manage the donor database (Little Green Light), ensuring accurate and up-to-date records.</li><li>Process donations and generate acknowledgment letters and renewal reminders in a timely and personalized manner.</li><li>Produce regular reports and mailing lists for campaigns, appeals, and stewardship activities.</li><li>Help track member engagement and identify opportunities for upgrades or deeper involvement.</li></ul>Donor Communications & Member Services<ul><li>Respond to inquiries by phone, email, or in person with professionalism and care.</li><li>Prepare and distribute the weekly Friends of the Bijou email newsletter, highlighting upcoming shows and member perks.</li><li>Facilitate Friends of the Bijou ticket purchases through Ticketmaster in coordination with the box office.</li></ul>Fundraising & Event Support<ul><li>Support the Director of Development with donor solicitation efforts, including individual giving, sponsorships, and Friend of the Bijou memberships.</li><li>Provide administrative and logistical support for fundraising campaigns, special events, and donor cultivation activities.</li><li>Represent the Bijou Theatre at community events and networking opportunities to build relationships with current and prospective donors, partners, and supporters.</li><li>Assist with grant management by tracking deadlines, maintaining the grant calendar, gathering supporting documentation, and helping with reporting requirements as needed.</li></ul>Qualifications:<ul><li>Bachelor’s degree in a relevant field (nonprofit management, business administration, marketing, or related discipline).</li><li>1–2 years of experience in development, fundraising, customer service, or database management preferred.</li><li>Ability to manage multiple projects, deadlines, and initiatives simultaneously.</li><li>Familiarity with donor database software, email marketing platforms, and/or Ticketmaster is a plus.</li><li>Strong written and verbal communication skills, with the ability to craft compelling donor messaging. </li><li>Familiarity with the Knoxville arts and cultural sector is preferred.</li></ul>Application Process:<ul><li>Interested candidates should submit a resume, cover letter, and three professional references to jobs@knoxbijou.org with the subject line: Development Administrator Application – Bijou Theatre.</li><li>Not all applicants will be contacted.
