What You'll Do Project Planning & Execution Turn loosely defined requests and in-flight work into clear project plans with milestones, owners, due dates, dependencies and approval steps Run project kickoffs to confirm goals, roles, timeline and cadence before work begins Manage day-to-day execution across content, product, marketing, events and partnerships, within the scope and priorities set by project sponsors Identify risks and dependencies early, and escalate directly to the CEO or project sponsor with what's blocked, the options, and when a decision is needed Agency, Vendor & Partner Management Serve as the day-to-day project lead for outside agencies, vendors and partners Set clear expectations up front: deliverables, timelines, communication cadence and points of contact Monitor vendor progress closely and follow up persistently, getting updates rather than waiting for them Flag vendor performance issues early and with specifics, so they're addressed before they affect deadlines Process Design & Documentation Design and document workflows for recurring work, such as intake, approvals, handoffs, vendor onboarding and launch checklists Write clear, usable process documentation, keep it current, and make sure teams follow it Identify where work is falling through the cracks and propose process fixes, getting sign-off before rolling out changes that affect other teams Execution Rhythms & Accountability Run recurring team syncs and circulate notes the same day, with decisions, action items, owners and dates Maintain a decision log and open-items tracker for every active project Keep project tools, meeting notes and leadership updates in sync, so every project shows the same status, date and owner everywhere Project Management Infrastructure Maintain a portfolio view of all active projects, including status, owners and what's at risk Own our Asana environment, including templates, rules and automations, recurring reminders, int.
