The Administrative Assistant is ready to ask students to uphold school standards in between completing administrative tasks at the front desk. This employee will answer the phones, sort mail, file, fax, create and maintain databases and any general administrative duties as needed. </div><div> </div><h3>Duties and Responsibilities:</h3><ul><li>Answering general inquiries, directing and screening phone calls</li><li>Greeting parents and visitors to the school and directing them to the appropriate location</li><li>Creating and maintaining databases such as Excel and the School Computer Network for student records, school equipment inventory etc.</li><li>Placing orders for departments and tracking the order process for the individual school</li><li>Managing of office supplies for the front office</li><li>Overseeing mailing and shipping delivery systems</li><li>Maintaining conference room calendar and scheduling meetings as needed</li><li>Aiding in student enrollment process for school in regards to paperwork completion and follow up phone calls</li><li>Opening and closing of the school front reception facility</li><li>Communicating to students with high expectations for academic achievement and appropriate behavior in and outside the classroom</li><li>Maintaining a positive and welcoming environment for parents, visitors, coworkers and students</li><li>General administrative duties as assigned</li></ul><h3>Qualifications:</h3><ul><li>Ability to relate to a diverse population of students and parents a must</li><li>Advanced proficiency in computer skills specifically, Microsoft Office: Outlook, Word, Excel and PowerPoint, and ability to learn new programs/software quickly</li><li>Proven experience multi-tasking, organizing and prioritizing work</li><li>Ability to handle requests and inquires and respond within a timely manner</li><li>High attention to detail</li><li>Performs duties with a high degree of professionalism and positive energy</li><li><strong>Spanish & English fluency required</strong></li></ul><h3>Education and Experience:</h3><ul><li>Three to five years administrative assistant experience is preferred</li></ul><h3>Salary and Bonus Information:</h3><div><ul style="margin-top:0px;margin-bottom:0px"><li style="font-size:10pt;font-family:'calibri' , sans-serif;color:#242424;font-weight:bold"><p style="line-height:1.2;margin-top:0pt;margin-bottom:0pt"><strong>This role is eligible for a $500 signing bonus!</strong></p></li><li style="font-size:10pt;font-family:'calibri' , sans-serif;color:#242424;font-weight:bold"><p style="line-height:1.2;margin-top:0pt;margin-bottom:0pt"><strong>New administrative assistants start at $18.75, with Mastery offering up to $23.92 based on experience and education. This position is responsible for accurately collecting tolls at bridge on weekends and holidays.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. • Collects tolls and is accountable for correct financial transactions. • Promotes good job relationships and extends courtesy to patrons under all circumstances. • Reports toll violations, abnormalities, and unusual situations and malfunctions of equipment to the Plaza Supervisor. • Responsible for complying with client Polices, Rules and Regulations. • Collects toll accurately, efficiently, and courteously while always maintaining good public relations. • Makes change and issues receipts to motorists. • Separates scrip, coins, and bills into proper denominations for deposit. • Collects toll at the facilities and is responsible for funds and accountability of such funds. • Collects tolls and is accountable for correct financial transactions. • Answers questions and gives directions to patrons in a courteous and efficient manner. • Maintains neatness in attire and maintenance of items issued. • May be assigned to one of the three toll shifts and/or bridges. • Able to work weekends and holidays. • Other duties as assigned. EDUCATION and/or EXPERIENCE • High school diploma or GED. • Strong customer service experience. • Cash handling experience is preferred but not required. • Willingness to be flexible, work multiple facility locations. • Ability to handle challenging and at times, emotionally charged situations. • Ability to speak, read, and comprehend the English language. • Willingness to work in the elements heat, wind, snow, rain, etc. • Ability to lift, push and pull at least 10 pounds. • Ability to stand, walk and run for extended periods of time.
