Your work will directly support our caregivers and help maintain high-quality care for our clients. Sunday - Tuesday holds the heaviest part of the workload to ensure timely submission.Key Responsibilities:<ul><li>Process and review client billing for accuracy, including verification of authorizations, rates, service dates, and payer requirements (e.g., Medicaid, VA, private pay, and other funding sources).</li><li>Assist with payroll processing by reviewing caregiver time records, resolving discrepancies, and ensuring hours are accurately entered and approved in accordance with company policy and applicable wage laws.</li><li>Monitor and reconcile billing and payroll data across internal systems to ensure consistency and accuracy.</li><li>Identify, document, and report billing or payroll errors, overpayments, underpayments, or discrepancies to management for resolution.</li><li>Assist with invoice preparation, payment posting, and account reconciliation as assigned.</li><li>Maintain accurate and complete financial documentation in compliance with company policies and audit requirements.</li><li>Communicate professionally with internal staff regarding billing or payroll questions, corrections, and follow-up items.</li><li>Adhere to all confidentiality requirements related to client, employee, and financial information.</li><li>Complete required training and stay current on billing, payroll, and compliance procedures.</li><li>Perform other related duties as reasonably assigned to support billing, payroll, and financial operations.</li></ul>What You Bring:<ul><li>Excellent attention to detail and commitment to accuracy</li><li>Strong time management and organizational skills</li><li>Prior experience with payroll and/or billing systems (preferred)</li><li>Ability to work independently and stay focused in a fast-paced setting</li><li>Professional communication skills and a positive, proactive attitude</li><li>Proficiency in Microsoft Office and accounting or scheduling software</li><li>Experience in home care or healthcare is a plus, but not required</li></ul>Qualifications:<ul><li>Must be 18 years or older</li><li>High school diploma or equivalent (Associate’s degree or higher preferred)</li><li>Must pass a 40-year background check and drug screening (APS and CPS checks included)</li><li>Reliable transportation and ability to work scheduled overnight hours</li><li>Comfortable working independently in an office environment</li></ul>If you’re a dependable, detail-driven professional ready to make a behind-the-scenes impact, we’d love to hear from you. **About the role**

You'll be the operational backbone of our office: owning administrative workflows, coordinating with suppliers and customers, supporting leadership, and ensuring our team has what they need to deliver on time. This is an on-site position.

**What you'll do**

- Oversee daily office operations: reception, mail, supplies, facilities, and vendor coordination.
- Manage calendars, meetings, travel, and event logistics for leadership and key teams.
- Handle purchasing support: create POs, track orders, reconcile packing slips/invoices, and maintain inventory records.
- Own document control: organize contracts, safety records, certifications, and compliance files.

**What you'll bring**

- 3+ years in office administration or operations; experience in industrial, construction, mining, or supply-chain environments is a plus.
- Strong organizational skills with impeccable attention to detail and follow-through.
- Proficiency with MS Office/Google Workspace; comfort with ERP/accounting systems (e.g., QuickBooks, NetSuite, SAP) is an advantage.
- Solid written and verbal communication; confident coordinating across teams and with vendors/customers.
- Ability to prioritize, anticipate needs, and solve problems independently.
- Discretion handling confidential information; high integrity and reliability.

**Nice to have**

- Experience with purchasing, inventory control, or logistics coordination.
- Basic knowledge of HSE/compliance documentation.
- Familiarity with CRM tools and simple workflow automations.

**Work setup**

- Status: Full-time, on-site
- Schedule: Monday--Friday, standard business hours
