This role is critical in ensuring smooth communication, accurate documentation, and efficient coordination between internal teams, clients, and external partners. The ideal candidate is proactive, customer-focused, and comfortable managing multiple priorities. Key Responsibilities:<ul><li>Provide administrative support to loan officers, processors, and underwriting teams </li><li>Manage and organize loan files, ensuring documentation is complete and compliant </li><li>Communicate with clients, realtors, and third-party vendors to collect required information </li><li>Schedule appointments, meetings, and follow-ups </li><li>Track loan progress and update internal systems accordingly </li><li>Prepare and review documents for accuracy and completeness </li><li>Handle incoming calls and emails, providing professional and timely responses </li><li>Assist with data entry, reporting, and file maintenance </li><li>Ensure adherence to company policies and mortgage industry regulations </li></ul>Qualifications:<ul><li>1–3 years of administrative experience </li><li>Strong organizational skills and attention to detail </li><li>Excellent written and verbal communication skills </li><li>Proficiency in Microsoft Office (Word, Excel, Outlook); experience with mortgage software (e.g., Encompass) is a plus </li><li>Ability to manage multiple tasks and meet deadlines in a fast-paced environment </li><li>Customer service mindset with a professional demeanor</li></ul>System One, and its subsidiaries including Joulé and Mountain Ltd., are leaders in delivering outsourced services and workforce solutions across North America.
