<div><h2>Administrative Assistant – Public Works - City of Bloomfield</h2><p><strong>Make an impact behind the scenes of essential city services!</strong><br/>The City is seeking an organized, detail‑oriented professional to support the day‑to‑day administrative operations of our <strong>Public Works Department</strong>. This role is ideal for someone who enjoys variety, leadership, and helping complex operations run smoothly.</p><hr/><h3><strong>General Purpose</strong></h3><p>Works under the general supervision of the <strong>Municipal Operations Center (MOC) Supervisor</strong>, performing supervisory, complex, and technical clerical duties to support and streamline administrative processes. This position provides administrative support for Public Works and the MOC Supervisor.</p><hr/><h3><strong>Supervision</strong></h3><ul><li><strong>Received:</strong> General supervision from the MOC Supervisor</li><li><strong>Exercised:</strong> Provides close to general supervision of assigned staff, including temporary or seasonal employees and the inventory clerk</li></ul><hr/><h3><strong>Essential Functions</strong></h3><p><em>(Performs some or all of the following)</em></p><ul><li>Manage daily administrative operations; monitor workflow, accuracy, and quality; and recommend process improvements</li><li>Provide full clerical and secretarial support, including reception, correspondence, scheduling, travel arrangements, agenda preparation, and meeting minutes</li><li>Process locate requests and emergency documentation in accordance with established procedures</li><li>Assist with budget preparation, tracking, compliance monitoring, and financial reporting</li><li>Perform bookkeeping duties including accounts payable, invoicing, reconciliation, and financial recordkeeping</li><li>Prepare purchase orders, work with vendors, track inventory, and close purchases in compliance with policy</li><li>Track employee timecards, leave, certifications, training records, and payroll documentation</li><li>Coordinate work orders, customer complaints, project cost tracking, records management, and reporting</li><li>Perform related duties as assigned</li></ul><hr/><h3><strong>Minimum Qualifications</strong></h3><p><strong>Education & Experience</strong></p><ul><li>High school diploma or equivalent</li><li>Coursework in secretarial science or office procedures</li><li>One year of specialized bookkeeping training</li><li>Two years of responsible, related experience</li><li>Or an equivalent combination of education and experience</li></ul><p><strong>Knowledge, Skills & Abilities</strong></p><ul><li>Strong knowledge of modern office practices, bookkeeping, supervisory principles, and public records management</li><li>Proficiency with computers, software applications, office equipment, and written communication</li><li>Ability to exercise initiative, independent judgment, accurate recordkeeping, and professional communication</li></ul><p><strong>Special Qualifications</strong></p><ul><li>Ability to type at least <strong>45 words per minute</strong></li><li>May be required to operate a vehicle</li><li>May be required to obtain <strong>Notary Public certification</strong></li></ul><hr/><h3><strong>Work Environment</strong></h3><p>Work is primarily performed in an office setting with normal physical activity demands. Occasional lifting of up to <strong>50 pounds</strong> may be required.
