General Information & Responsibilities

GENERAL RESPONSIBILITIES: The Accounting Specialist III (PaCE) manages the PaCE Department's accounting needs including balancing, accounts payable, and accounts receivable; training/updating current and new users on the college SIS; and calculating/submitting instructor contracts.

Description of Duties

DESCRIPTION OF ESSENTIAL DUTIES:

  • Manages third party agency/company transactions including but not limited to invoicing, collections, accounts receivable, and posting of payments in the college's SIS.
  • Manages company and student accounts including but not limited to refund processing; analyzing/reconciling accounts; placing holds on student accounts; posting manual payments and charges when needed; and assisting with resolving issues.
  • Posts BHC Bookstore charges on student accounts in the college's SIS.
  • Performs daily cashier supervisor duties including but not limited to analyzing, correcting, closing, and finalizing cashier sessions and preparing bank deposit.
  • Responsible for petty cash payments, balancing, and reconciliation for the PaCE Department and Adult Education Department.
  • Performs accounting functions and maintains documentation including but not limited to preparing and submitting disbursement requests, travel expense reports, purchase orders, and reconciling purchases made with pcard.
  • Creates and submits comprehensive/comparative reports related to the budget, revenue, and enrollment and assists with compiling PaCE revenue/expenses for classes and programs.
  • Develops accounts receivable procedure/documentation and utilizes that documentation to train/update PaCE and BTC employees.
  • Creates PaCE instructor contracts; calculates compensation and payroll docks; works with Human Resources Department and Payroll Department to ensure timely submission of contracts and resolution of pay issues; and prepares personnel action notices.
  • Creates and maintains confidential files and instructor, company, and student records.
  • Performs College for Kids (CFK) duties including but not limited to creating/submitting instructor contracts and submitting any financial aid or waivers at the conclusion of the program.
  • Proofs PaCE catalog class builds completed by the Outreach Systems Specialist for accuracy.

DESCRIPTION OF OTHER DUTIES:

  • Serves as backup for the Outreach Systems Specialist.
  • Assists with Registration Specialist-Student Support duties.
  • Creates/maintains department forms as needed.
  • Assists Adult Education Department with payroll docks, personal action notices, and timesheets as needed.
  • Represents the PaCE Department at community/college events
  • Performs other job-related duties as assigned.

Education & Experience

EDUCATION AND EXPERIENCE: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.)

  • Associates degree or minimum of 60 college credit hours completed required.
  • Minimum of two years of experience in accounting preferred.
  • Minimum of one year database experience preferred.
  • Strong verbal and written communication skills required.
  • Above average organizational, attention to detail, and analytical skills required.
  • Basic level ability with Microsoft Office 365 required. Intermediate level ability preferred.
