Job Description
We are seeking an Administrative Assistant to join our dynamic team. The ideal candidate will have strong experience in accounts payable support, document management, and office operations and a proven ability to maintain accurate records, reconcile invoices, and provide consistent service to internal teams and vendors.
Responsibilities:
- File, retrieve, and maintain vendor payment files and related documents.
- Provide general information to departments, staff, and vendors.
- Prepare, scan, and index vendor payments into digital repositories.
- Pick up and distribute daily mail and associated correspondence for the Business Office.
- Collaborate effectively in a team environment.
- Apply knowledge of accounting principles and accounts payable terminology to daily tasks.
- Reconcile accounts payable documents, invoices, transactions, and statements.
- Maintain accurate accounts payable records and logs.
- Perform other work-related duties as assigned by the supervisor.
Required Skills & Qualifications:
- Proficiency with Microsoft Excel for invoice tracking, accurate data entry, consistent item naming, and duplicate avoidance.
- Experience operating office equipment for scanning and copying.
- Strong filing and document organization skills.
- General office administration skills including mail handling and correspondence distribution.
- Familiarity with hospital or healthcare office environments.
- 2+ years of relevant experience in administrative or accounts payable support.
Preferred Skills:
- Experience with digital document management systems or imaging software.
- Basic knowledge of accounting systems used for accounts payable.
