CCC physicians and advanced practitioners represent some of the finest and most respected independent practitioners in the area. The Administrative Assistant (AA) is a critical role at Clearwater Cardiovascular Consultants. As an extension of the CEO, the AA is responsible for ensuring the CEO’s office operates with precision and discipline, while monitoring progress on strategic initiatives across the firm to ensure timely delivery. This position requires exceptional judgment, attention to detail, and organizational skills.

The AA manages the firm’s Executive Committee, serves as the CEO’s primary liaison with both internal leadership and external partners.

CEO Office Leadership

  • Strategically manage the CEO’s calendar, travel, and correspondence.

Executive Committee Management

  • Own the weekly Executive Committee meeting process: set agendas, collect and distribute materials, run the meetings, and track follow-ups.
  • Lead the production of the Weekly Executive Committee Report: gather submissions, draft the CEO’s section, write the AA section, and ensure timely distribution to the executive team.
  • Act as liaison between the CEO and department heads, ensuring alignment and accountability across the leadership team.
    Strategic & Firmwide Initiatives
  • Support the CEO with keeping strategic priorities on schedule across the firm, ensuring initiatives stay on track and aligned with organizational goals.
  • Provide analysis to support CEO decision-making on key business and client

External & Partner Engagement

  • Serve as liaison between the CEO and executive offices at strategic partner organizations (custodians, service providers).
  • Coordinate CEO participation in client and prospect meetings, industry events, and speaking engagements.
  • Internal Communications
  • Support firm-wide meetings and offsites by shaping agendas, preparing content, and ensuring alignment with CEO priorities.
  • Act as a cultural ambassador, helping the CEO reinforce CCC’s values and operating principles throughout the organization.

Additional duties

  • Take on additional responsibilities and projects as business needs evolve or as directed by the CEO.
  • Provide support on new strategic initiatives, special projects, or growth opportunities that fall outside the AA’s core responsibilities.
  • Adapt quickly to shifting priorities, ensuring the CEO’s focus is supported in real time.
  • Approach new and unexpected assignments with intellectual curiosity, flexibility, and a solutions-oriented mindset.
  • Recognize that the scope of the AA role will expand and change over time in line with the firm’s growth and the CEO’s priorities.

Requirements:

  • 3+ years of experience in strategy, consulting, or related fields or commiserate degree.
  • Exceptional written and verbal communication skills
  • Highly organized, detail-oriented, and able to manage multiple high-priority initiatives simultaneously.
  • Strong analytical acumen
  • Impeccable judgment and discretion in handling confidential information; exceptionally trustworthy.
  • Exceptional Critical thinking and problem solving
  • Strong communication and interpersonal skills
  • Advanced Excel and PowerPoint skills.
  • Extremely detail orientated.
  • Strong intellectual curiosity and drive to continue to take more onto his/her plate.
  • Initiative and ability to complete projects/tasks with minimal supervision, feedback or oversight.
  • Strong individual contributor, who also works well on a team and wants to win as a team.
  • Has both a personal desire to succeed in the role and understands the importance of the role to the organization.
  • Deep desire to grow, learn, stretch, and otherwise be presented with new situations and challenges to solve.
