Administrative Assistant – Property Management & Leasing Support
Location: Mason Equity Group – Columbus, Ohio
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Salary Range: $50,000–$55,000 annually

We are seeking a highly skilled Administrative Assistant to provide elevated administrative support to our leadership team while playing an integral role in daily leasing and property management operations.
This position is ideal for a proactive, polished professional who thrives on organization, problem-solving, and taking ownership of core operational tasks. The Administrative Assistant will work closely with the VP of Property Management, support key business functions, and help maintain a seamless workflow across the portfolio.
Key Responsibilities:
Administrative Support
- Provide high-level administrative support, including calendar management, task prioritization, and preparation of meeting materials.
- Assist with organizing operational priorities, tracking deadlines, and ensuring follow-through on critical initiatives.
- Prepare professional correspondence, reports, and documents on behalf of leadership.
Leasing & Resident Relations
- Facilitate leasing processes from inquiry to move-in, including application review, document preparation, and coordination with prospective tenants.
- Draft, distribute, and track tenant notices and communications, ensuring accuracy and overall compliance.
- Coordinate and schedule property tours, maintaining a polished and responsive customer experience.
Property Management Operations
- Submit, monitor, and close work orders to ensure timely maintenance resolution.
- Maintain organized digital and physical records for property operations, leasing files, compliance, and reporting.
- Support move-in and move-out processes, including documentation, communications, and file management.
- Assist in vendor coordination, scheduling, and follow-up to ensure timely project completion.
Front-Line Communication
- Answer and route phone calls with exceptional professionalism, providing accurate information and warm customer service.
- Serve as a direct point of contact for residents, vendors, and prospects to foster clear and consistent communication.
Skills & Qualifications
- 2+ years of administrative, executive assistant, leasing, or property management experience preferred but not required.
- Outstanding organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills with a professional and polished demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with property management software is a plus.
- Ability to maintain confidentiality, exercise discretion, and work with minimal supervision.
- High attention to detail, accurate data entry, and strong follow-through on all tasks.
