Position Title: Administrative Assistant
Funding Source: General Fund
Reports to: This position reports to and is evaluated by the School Principal
Qualifications:
- Associate's Degree or 3 years work related experience
- Demonstrated ability to plan and execute effectively
- Strong project management and communication skills
- Strong technology and organizational skills
Position Description: The Administrative Assistant will perform a variety of clerical and secretarial duties to organize, coordinate and schedule school office activities. These activities include assisting the Principals in routine administrative tasks for grades Kindergarten - 8th grade.
Key Responsibilities
- Exhibit the highest level of customer service with students, parents, staff and other guests
- Be knowledgeable and able to effectively communicate school policies, procedures, actions, activities and schedules when necessary
- Respond appropriately and professionally to questions or complaints from parents, staff vendors and District Administration
- Maintain a variety of reports, records and files relating to students, staff, budgets, operations and activities
- Serve as secretary to the Principal by composing routine correspondence independently
- Perform complex and advanced-level clerical accounting duties in support of assigned schools programs and services
- Print and distribute progress reports and report cards to students
- Make approved changes to student schedules, contacts, or other student information
- Print and share daily suspension reports as needed
- Ensure teachers have taken accurate daily attendance
- Coordinate designated events and assist with special events
- Manage the detention calendar
- Place orders for staff; track delivery; submit purchase orders, invoices and reimbursement requests to the Finance Department
- Maintain an accurate inventory of office supplies
- Screen enrollment applications, ensuring that all required documents are attached
- Ensure substitute plans are on file for all teachers
- Settle substitutes in the classroom and provide them with an attendance roster and plans
- Collect time-off, Professional Development and other district forms
- Assist in the orientation of new students and staff
- Other duties as designated by the school Principal
- Adhere to the District’s and School’s policies, expectations, and protocols as outlined in the District’s Policies and procedures Manual and School's Policies and Procedures Manual

Physical Requirements: Light Work: Exerting up to 50 pounds of force occasionally and/or up to 10 pounds of force as frequently as needed to move objects; Frequent standing, stooping, bending,
pushing and pulling.
Terms of Employment: Salary benefits shall be paid consistent with the District's approved compensation plan. Length of the work year and hours of employment shall be those established by
the District.
Evaluation: Performance of this job will be evaluated by the School Principal in accordance with provisions of the Board’s policy on evaluation of personnel.
