CornerStone Professional Placement is seeking an Administrative Assistant for a global pharmaceutical company based in Fort Worth, Texas, and Miami, Florida. This position will support the day-to-day administration of the companys pharmaceutical sample program, with a strong focus on sample accountability, regulatory compliance, systems and data management, and cross-functional coordination. The ideal candidate is highly organized, detail-oriented, comfortable working in a regulated environment, and experienced in supporting operational processes across multiple teams.

Pay Rate: $25$31/Hour
Employment Type: 6-Month Temp Assignment
Responsibilities for the Administrative Assistant:
Support the day-to-day administration of the pharmaceutical sample program, ensuring compliance with PDMA, FDA, state regulations, Good Distribution Practices (GDP), SOX controls, and internal Sampling SOPs.
Manage sample accountability activities, including inventory tracking, reconciliation, transfers, returns, fulfillment, and reporting, while investigating and resolving inventory discrepancies.
Serve as a primary operational contact for sample-related inquiries, managing Sample Operations tickets and coordinating with field personnel and third-party vendors to ensure timely resolution.
Support sample management systems and data, including Veeva/Salesforce, inventory management platforms, HCP customer master data, field sales onboarding, territory alignments, role changes, and representative rosters.
Partner cross-functionally with Compliance, Legal, Sales, Marketing, Supply Chain, IT, and external vendors while using Excel, Power BI, and other reporting tools to monitor KPIs, compliance metrics, operational performance, and process improvement opportunities.
Requirements for the Administrative Assistant:
Minimum of 3 years of strong administrative support experience, with relevant office experience within the last year.
Proficient in Microsoft Office is required, including Excel (Spreadsheets, PivotTables, and VLOOKUPs), PowerPoint (Presentations), Teams, Outlook, and Word;
High School Diploma or GED required; bachelors degree in Business, Supply Chain, Life Sciences, Healthcare Administration, or a related field preferred.
Experience in the pharmaceutical industry is preferred but not required; candidates from other highly regulated environments, including healthcare and finance, will also be considered.
Familiarity with PDMA requirements, pharmaceutical sample accountability practices, FDA regulations, and compliance controls is preferred.
Strong analytical, organizational, communication, and problem-solving skills, with the ability to work independently, support cross-functional teams, manage changing priorities, and identify process improvements in a fast-paced environment.
