GENERAL PURPOSE OF JOB: Performs a variety of routine and complex clerical, administrative, and support duties for the Clerk & Recorder’s Office. ESSENTIAL JOB FUNCTIONS: (These duties are illustrative of typical essential responsibilities of the job, and may vary according to assignment) - Processes incoming and outgoing mail.
- Prints, copies, assembles, distributes, and files documents.
- Processing accounts payable.
- Ability to work with sensitive and confidential information maintaining confidentiality.
- Distribute offices supplies, packages, and mail to all program areas. Keeps all supply and work rooms organized and supplied with office products and first aid supplies.
- Uses computer and specialized software to digitize records, scan and enter data, search databases, conduct research, create documents, send emails, and file electronically.
- Create, post, and file public notices adhering to state and local statutes.
- Assists with travel arrangements for staff.
- Works with the Finance department to print accounts payable and payroll weekly.
- Answers telephone calls, assesses situations and provides the public and internal customers with directions and other customer services.
- Assists the Office Administrator in Board of County Commissioner (BoCC) meetings, records minutes, and obtains required signatures.
- Assists Clerk & Recorder staff with various administrative and support tasks as assigned.
- Acts as a backup for the Office Administrator as requested.
