Primary Purpose:

Provide secretarial services for the central office special education department staff members.

Qualifications:

College hours, high school diploma or GED

Proficient keyboarding, word processing, and file maintenance skills

Excellent organization, communication, and interpersonal skills

Ability to work with people

Ability to made decisions

Good communication skills including telephone

Ability to complete basic math

Major Duties and Responsibilities:
  1. Prepare correspondence, reports and other documents necessary to the effective operation of the Special Education department.
  2. Interact, correspond with and track all applicants applying for special education positions being interviewed by the Director.
  3. Answer and screen all telephone calls into the Central Special Education Office.
  4. Maintain all files related to the administration of the department.
  5. Maintain calendar of on-going departmental meetings and events.
  6. Assist in maintaining budget records for local, state and federal special education accounts.
  7. Serve as receptionist to all persons visiting the Special Education Office.
  8. Manage the operations of the Special Education Office.
  9. Process all incoming and outgoing mail for the department of Special Education.
  10. Attend meetings related to in-service for secretaries, budget and appropriate procedural matters.
  11. Responsible for maintaining all correspondence that relates to the Parent Advisory Council members.
  12. Assist in preparation of State and Federal reports.
  13. Maintain electronic and physical filing systems.
  14. Prepare reports and presentations as necessary.
  15. Provide copying services to department staff.
  16. Routine bookkeeping tasks, including arithmetic operations for the department.
  17. Processing of paperwork, reports, purchase orders, and other documents as needed.
  18. Provide relief support to other staff as necessary.
  19. Maintain the confidentiality of information and communication.

Personal computer, printer, copier, calculator, and fax machine.

Working Conditions:

Work with frequent interruptions; maintain emotional control under stress. Repetitive hand motions. Occasional prolonged and irregular hours.
