Position Title Administrative Assistant I, Strategic Planning & Research Announcement Summary

Fayetteville Technical Community College is recruiting for a new member to join our Strategic Planning & Research Team and now accepting applications for a full-time Administrative Assistant I!

The Administrative Assistant I will provide high-level administrative, operational, and project coordination support to the Vice President for Strategic Planning and Research and the division's leadership, staff, and functional areas. This position supports executive-level initiatives, divisional operations, cross-functional projects, communication, documentation, data coordination, and follow-through on key priorities. The position also compiles, organizes, and summarizes data and information for review by the Vice President and division leadership.

Duties

Essential Duties-Duties may include, but are not limited to, the following:

  • Provide comprehensive administrative and operational support to the Vice President for Strategic Planning and Research and the division, including calendar management, meeting coordination, communications, executive correspondence, and follow-through on key priorities.
  • Serve as the central point of coordination for the Vice President's Office by managing inquiries, screening communications, routing information, tracking deliverables, and ensuring timely completion of documentation, approvals, and action items.
  • Coordinate divisional meetings, workshops, events, and cross-functional activities, including scheduling, logistics, agenda preparation, material development, minutes, follow-up communication, and coordination with internal and external stakeholders.
  • Process and track purchase orders, equipment and supply requests, travel requests, facility move requests, and work orders across assigned departments; ensure accuracy, monitor status, and follow up to support timely completion.
  • Coordinate divisional travel arrangements, ensuring compliance with institutional policies, accurate documentation, and clear communication with relevant stakeholders.
  • Develop, refine, and produce presentations, reports, board materials, requests for proposals, executive summaries, infographics, and other communication assets using standard office, presentation, design, and AI-enabled platforms to support clear, professional, and audience-focused messaging.
  • Maintain organized and secure records and documentation across multiple functional areas ensuring accuracy, accessibility, confidentiality, and compliance with institutional and regulatory standards.
  • Support cross-divisional projects and institutional reporting efforts through document preparation, data coordination, proofreading, and formatting using standard office and reporting systems.
  • Collaborate with Facility Services to confirm facility use, event logistics, technology needs, and related resources in alignment with divisional priorities.
  • Attend meetings as required and provide relevant updates, reports, documentation, and follow-through in support of divisional priorities.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Prepare briefing materials, summaries, and supporting documentation to provide timely and accurate information for executive decision-making.
  • Other duties as assigned.

Minimum Qualifications

An Associate's degree from an accredited college in Business, Office Administration, or a related field.

Three years of increasingly responsible administrative support experience, preferably in higher education or a similarly complex organizational environment, with demonstrated experience supporting multiple functional areas and executive-level operations.

Preferred Requirements

Bachelor's Degree preferred.
