Overview:

Provides administrative support to staff across programs to ensure information is relayed effectively and administrative tasks are completed to support project completion, program maintenance and interdepartmental communications as assigned. Utilizes and organizes the maintenance of office equipment, provides phone coverage and is responsible for handling and directing communications with both internal and external customers in a professional, efficient and organized fashion.

Responsibilities:
  • Demonstrates mastery of Administrative Assistant I competencies.
  • Provides administrative and clerical support to assigned department or team.
  • Manages calendars, schedules appointments, and coordinates meetings.
  • Prepares, edits, and distributes reports, memos, and correspondence.
  • Organizes and maintains electronic and physical filing systems.
  • Coordinates meeting logistics, including room bookings, materials, and follow-up.
  • Handles incoming calls, emails, and visitor inquiries in a professional manner.
  • Assists with data entry, spreadsheet creation, and basic data tracking.
  • Supports departmental projects by organizing documents and timelines.
  • Maintains office supply inventory and processes purchase requests.
  • Ensures accuracy and confidentiality in handling sensitive documents.
  • Liaises with other departments to facilitate communication and workflow.
  • Supports onboarding and administrative orientation for new team members.
  • Helps improve and streamline administrative processes as needed.

  • High School Diploma or GED and two (2) years of experience in the field or related area, including intermediate skills with Microsoft applications (especially Word, Excel, and PowerPoint) required, or equivalent combination of education and experience (two years of relevant experience equals one year of education)
