Administrative Assistant III

Brief Job Description:

This position is an Administrative Assistant III with the Litigation Department in the Legal Services Division (LSD) of the HHS Office of Chief Counsel (OCC).

The Litigation Department is responsible for providing legal advice and support for pending or threatened litigation against HHS or HHS employees in their official or individual capacities. The Department serves as the primary point of contact with the Office of the Attorney General to defend lawsuits and administrative actions filed against HHSC or DSHS concerning employment decisions, tort claims, agency rules and policies, alleged constitutional deprivations, contract and procurement disputes, federal and state statutes, including the Medicaid Act, and to prosecute cases of Medicaid fraud.

The Administrative Assistant III performs complex (journey-level) administrative support work. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Employees at this level may fully perform a variety of routine daily tasks, including:

Essential Job Functions (EJFs):

The Administrative Assistant III must be able to perform the following essential job functions:

  • Routinely and appropriately use and maintain filing systems and electronic case management systems, including recording information; updating paperwork; or maintaining documents, records, correspondence, or other material;
  • Routinely and appropriately use calendaring systems and communicate appropriately to schedule meetings, conferences, seminars, presentations, and trainings;
  • Organize and monitor travel arrangements and reimbursement requests for others;
  • Schedule and prioritize attorney caseloads; organize case files;
  • Review and redact confidential documents for production to parties and filing with various courts;
  • Assist others in performing work of greater complexity;
  • Other duties as assigned.

Knowledge, Skills and Abilities (KSAs):

  • Knowledge of office practices and administrative procedures.
  • Skill in the use of standard office equipment and software.
  • Ability to communicate effectively in a professionally appropriate manner, verbally and in writing.
  • Ability to implement administrative systems and procedures and to interpret rules, regulations, policies, and procedures.
  • Ability to assist with scheduling and prioritizing attorney caseloads; organize case files; and prepare chronologies, fact summaries, and witness files.
  • Ability to review and redact confidential documents.
  • Skill in understanding, processing and summarizing information; strong organizational skills; acute attention to detail; proficient in the use of office equipment, use of a computer and applicable software.

Registrations, Licensure Requirements or Certifications:

None required.

Initial Screening Criteria:

Three years of experience as an Administrative Assistant is required. At least two years of experience as an Administrative Assistant in a legal setting is preferred.
