Description

The Prevention Services Area of Children and Family Services (CFS) in Human Services Public Health (HSPH) is seeking an Intermediate Administrative Assistant to support a devoted team of professional social workers that provide short-term case management with voluntary clients. The person in this position will need to be highly organized, have the ability to work independently, and able to manage a high volume of daily tasks.

Location and hours:

This position is hybrid and will be performed both on-site at one of the Hennepin County Human Service Center locations, and remote as job duties require. Work hours will be Monday through Friday, between the hours of 7 a.m. - 5.30 p.m. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin. New Employee Orientation (NEO) for all new benefit-earning employees is in-person in downtown Minneapolis. Details about NEO will be provided upon hire.

In this position, you will:

  • Review all donation requests submitted by staff to determine eligibility and correspond with volunteers providing donations to active families in CFS.
  • Monitor incoming calls, provide information, and share resources with residents and their providers interested in prevention-based services.
  • Monitor all incoming referrals, conduct research, and correspond with referents about eligibility for prevention services.
  • Track, upload, and assign incoming referrals submitted by Child Protection Social Workers, police, hospitals, schools, and other county and community-based providers and residents.
  • Notify tribes to emphasize the importance of maintaining Native children's connections with their tribal communities when families identify Native American heritage and/or tribal affiliation while participating in Prevention Services.
  • Maintain catalogue of current county services and community resources available to residents.

Need to have:

  • One of the following:

  • Bachelors degree or higher in public administration, business administration, or other field appropriate to the position and two years or more of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.

  • Six or more years of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.

  • Access to reliable transportation to attend meetings throughout Hennepin County.

Nice to have:

  • Experience:

  • Working with children and family services, child protection, and/or prevention services and programs.

  • Using Microsoft Office including Excel and PowerPoint.

  • Using SharePoint.

  • Working with children and families from diverse cultural backgrounds.

  • Familiarity with county-based services and community-based programs.

  • Strong organizational skills and the ability to effectively manage multiple competing priorities in a timely manner.

  • Effective communication skills, both verbally and in writing, including phone skills to obtain accurate data from reports and writing skills to record the information clearly and concisely.

  • Advanced skill in a variety of computer applications including SSIS, ECF, MGA, and/or comparable programs.
