Administrative Assistant
Location: Carlsbad, CA
Pay Rate: $35.00 $42.50/hour
Duration: 2-Year Contract
Schedule: Monday Friday, 7:00 AM 3:00 PM
Work Arrangement:
This position is 100% onsite during the initial training period. Once fully trained and comfortable with the role, the schedule transitions to 4 days onsite (Monday Thursday) with Fridays remote.

Position Summary
Our client is seeking a highly organized Administrative Assistant to provide administrative and operational support to the Operations & Engineering (O&E) Supervisor and the Electric Regional Operations team. This role is responsible for coordinating field and office activities, managing schedules, supporting operational workflows, maintaining accurate documentation, and ensuring timely completion of administrative tasks.
Key Responsibilities
- Coordinate and maintain the Electric Troubleshooter schedule and daily staffing assignments.
- Support workload planning and operational scheduling priorities.
- Track, process, and maintain customer and third-party damage reports.
- Coordinate ETS pre-arranged customer request jobs and monitor workflow status.
- Maintain records for ETS AED inspections and ensure compliance tracking is up to date.
- Support safety meetings by taking notes, distributing meeting minutes, and tracking action items.
- Perform data entry, reporting, document management, and administrative follow-up.
- Communicate effectively with supervisors, engineers, field personnel, customers, and other departments.
- Assist with additional administrative and operational projects as assigned.
Qualifications
- Previous administrative or operations support experience required.
- Strong organizational and multitasking skills with the ability to prioritize competing deadlines.
- Excellent attention to detail and accuracy.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
- Strong written and verbal communication skills.
- Ability to work independently while collaborating effectively within a team.
- Comfortable supporting both office and field operations in a fast-paced environment.
