Administrative Assistant (Victim Witness Program)

Location: New Orleans, Louisiana
Work Schedule: Full-Time | Monday–Friday | 8:30 AM – 5:00 PM
Work Arrangement: Primarily onsite with situational telework authorized in accordance with agency policy. Evening, weekend, overtime, and limited travel may be required with prior approval.

Position Overview

Crossroads Talent Solutions is seeking a highly organized and detail-oriented Administrative Assistant to support the United States Attorney's Office (USAO), Eastern District of Louisiana, within the Victim Witness Assistance Program. This position plays a vital role in supporting the Fact Witness Program by providing comprehensive administrative and case support services throughout all phases of federal criminal proceedings, including Grand Jury appearances, hearings, and trials.

The Administrative Assistant serves as the primary coordinator for witness-related administrative functions, ensuring witnesses receive timely support, travel arrangements, reimbursements, and scheduling assistance while maintaining accurate records and supporting litigation teams. This position requires exceptional organizational abilities, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced federal legal environment.

Key Responsibilities

  • Coordinate and maintain Fact Witness subpoenas for Grand Jury proceedings, hearings, and trials.
  • Schedule witness appearances and coordinate with Assistant United States Attorneys (AUSAs), legal assistants, and litigation teams.
  • Meet with witnesses to complete required documentation and collect receipts and supporting reimbursement documentation.
  • Monitor weekly Grand Jury schedules to ensure subpoenas are properly received, tracked, and processed.
  • Communicate regularly with AUSAs and Criminal Division staff regarding witness needs, case status, and upcoming court proceedings.
  • Process, scan, organize, and maintain witness vouchers and supporting financial documentation.
  • Troubleshoot travel voucher issues and coordinate resolutions with appropriate personnel.
  • Arrange government-rate travel and lodging accommodations for witnesses.
  • Prepare reimbursement vouchers and assist with reconciliation of witness travel credit card accounts.
  • Retrieve documentation for monthly financial reconciliations and resolve discrepancies involving travel expenditures.
  • Support trial teams by coordinating witness logistics and maintaining trial preparation schedules.
  • Coordinate trial preparation meetings and maintain trial calendars.
  • Develop and maintain spreadsheets, case tracking systems, correspondence files, reports, and administrative records.
  • Monitor active cases, hearings, trial dates, sentencing dates, and other litigation milestones.
  • Prepare professional correspondence, reports, charts, tables, and other written materials using Microsoft Office applications.
  • Review documents for formatting, spelling, grammar, completeness, and accuracy before submission.
  • Maintain organized filing systems while safeguarding sensitive and confidential information.

Required Qualifications

  • High school diploma or equivalent (associate degree in Business Administration, Criminal Justice, Legal Studies, or a related field preferred).
  • Previous experience providing administrative support in a legal, government, court, or professional office environment.
  • Strong organizational skills with the ability to manage multiple priorities and meet strict deadlines.
  • Excellent verbal and written communication skills.
  • Ability to interact professionally with attorneys, court personnel, witnesses, and government employees.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Experience reviewing legal and non-legal documents with exceptional attention to detail.
  • Ability to work independently while contributing effectively within a team environment.

Preferred Qualifications

  • Experience supporting litigation or federal legal proceedings.
  • Familiarity with witness coordination and travel reimbursement processes.
  • Experience working within the Department of Justice, U.S. Attorney's Office, or another federal agency.
  • Knowledge of court procedures and legal terminology.
  • Experience maintaining case tracking systems and litigation calendars.

Security Requirements

  • Ability to successfully complete a DOJ background investigation and obtain a minimum background investigation waiver before beginning work.
  • Must satisfy DOJ residency requirements (generally residing in the United States for three of the previous five years).
  • Must be able to complete all required DOJ ethics and annual cybersecurity training.
  • Ability to safeguard sensitive, confidential, and law enforcement information in accordance with Department of Justice policies.
