Our client is seeking an Administrative Assistant to support facilities and office services operations in a fast-paced environment. This role will work closely with leadership to ensure efficient day-to-day operations across office space, logistics, and facility management functions.

In this position, you will assist with coordinating office services, managing workspace logistics, and supporting vendor and building relationships. The ideal candidate is organized, proactive, and comfortable handling a mix of administrative and operational responsibilities.

  • Assist with coordination of office operations including moves, relocations, workspace assignments, and space utilization
  • Support scheduling and management of conference rooms and shared workspaces
  • Communicate office changes and logistics updates to staff and leadership
  • Serve as a liaison with building management and maintenance teams to help resolve facility and safety issues
  • Provide administrative support including procurement documentation, recordkeeping, and reporting
  • Assist with mailroom operations and courier coordination
  • Support inventory, storage, and maintenance tracking activities
  • Manage and assign tasks within a ticketing system
  • Help maintain schedules, logs, and operational reports

Required Qualifications

  • Minimum of 3 years of experience in facilities, property or space management, warehouse or inventory operations, fleet or parking management, telecommunications, mailroom operations, printing, or records management
  • Strong organizational and multitasking skills
  • Ability to communicate effectively with internal teams and external partners
  • Ability to work in a fast-paced, operational environment

Preferred Qualifications

  • Experience in facilities operations, building services, or space planning
  • Experience supporting project management or operational initiatives
  • Prior experience in facilities or building management environments is a plus
