A well-established and expanding construction company in Phoenix is seeking a detail-oriented Administrative Assistant to support daily office operations, construction projects, and leadership teams. As a third-party recruiting partner, we are conducting a confidential search for a motivated individual who can keep projects organized, communicate effectively, and help ensure smooth day-to-day operations.

Key Responsibilities

• Provide administrative support to project managers, estimators, and office leadership
• Answer and direct incoming phone calls, emails, and customer inquiries
• Prepare, organize, and maintain project files and construction documentation
• Assist with scheduling meetings, appointments, and project-related activities
• Track contracts, permits, purchase orders, invoices, and project paperwork
• Enter and update data accurately within company systems
• Coordinate communication between field personnel, vendors, subcontractors, and office staff
• Assist with reporting, document management, and compliance tracking
• Maintain organized electronic and physical filing systems
• Support special projects and additional office functions as needed

Qualifications

• 1+ years of administrative, office support, or project coordination experience
• Construction industry experience preferred but not required
• Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel
• Strong organizational, multitasking, and time-management skills
• Excellent written and verbal communication abilities
• High attention to detail and accuracy
• Ability to work independently while managing multiple priorities

Preferred Skills

• Experience supporting construction projects or project managers
• Knowledge of contracts, permits, and project documentation
• Vendor and subcontractor coordination experience
• Accounts payable, invoicing, or administrative accounting support
• Experience working in a fast-paced office environment

Compensation & Benefits

• $23-$28 per hour
• Temp-to-Hire opportunity
• Full-time schedule, Monday through Friday
