Administrative Assistant

Key Responsibilities as the Administrative Assistant

The Administrative Assistant will carry out a variety of administrative tasks to support laboratory operations under the direction of the Client Services Manager.

Duties include, but are not limited to:

• Guiding clients through sample submission and bottle request forms with a professional demeanor.
• Handling shipments of samples and supplies.
• Logging projects in the Laboratory Information Management System (LIMS) and state/federal databases.
• Managing a multi-line IP phone system and performing data entry with accuracy.
• Filing and scanning documents, monitoring storage units, and maintaining a clean work area.
• Troubleshooting issues, meeting deadlines, and upholding high-quality data standards.
• Other duties as assigned.

Qualifications

Our ideal candidate will be authorized to work in the United States indefinitely without restriction or sponsorship; possess a combination of strong communication, organization, and computer skills; attention to detail, desire to learn, and a strong work ethic. Other qualifications include:

• High School Diploma or GED Required
• Must be 21 years or older due to regulatory requirements.
• Minimum 6 - 12 months' experience in an office or lab setting preferred. Background in chemistry or environmental project management is a plus.
• Spanish fluency is a plus.
• Experience with Chain of Custody, invoicing, and using a multi-line phone system.
• Experience with LIMS, Word, Excel, and Outlook is a plus.
• Possess excellent organizational and multi-tasking skills; Excellent communication skills, attention to detail, ability to lift 20 - 30 pounds, and work both independently and within a team.
• Self-motivated, adaptable, with a positive attitude with the flexibility to perform duties in other areas if needed.

Position & Schedule

This is a Full-Time, 40 hours position, Monday-Friday 8:30AM - 5:00PM, onsite at Columbia Laboratories in Portland, Oregon.
