Are you a detail-driven, proactive professional who thrives in a fast-paced environment? We're looking for a Full-Time Administrative Assistant who takes ownership of their work, brings a high level of accuracy and accountability, and isn't afraid to roll up their sleeves when it counts. In this role, you'll serve as a critical partner to a Project Manager who wears many hats - helping keep operations organized, priorities on track, and nothing falling through the cracks.
This is more than a traditional admin role. You'll collaborate across internal teams and engage directly with clients, where your ability to anticipate needs, stay ahead of the curve, and maintain composure under pressure will set you apart.
Responsibilities:
- Provide high-level administrative support to a Project Manager across multiple concurrent responsibilities and initiatives;
- Assist in creating and updating reports, presentations, and documentation as required;
- Compile and maintain informational binders, records, and project files
- Coordinate and book travel arrangements; prepare itineraries, agendas, and supporting materials while monitoring logistics and managing costs
- Prepare, edit, and proofread correspondence, communications, and presentations
- Reconcile monthly expense reports through Concur, including receipt management and obtaining required approvals
- Manage competing priorities and drive projects to completion under deadline pressure
- Support ad hoc tasks and special assignments as needed
Qualifications:
- 5+ years of experience in an administrative support role, ideally supporting a manager or executive with broad responsibilities
- Associate's degree required; Bachelor's degree preferred
- High proficiency in Microsoft Office Suite
- Advanced skills in Outlook and calendar management
- Experience with Concur (expense management) preferred
- Ability to handle confidential information with integrity
- Exceptional attention to detail and a high standard of accuracy and accountability
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Excellent judgment, discretion, and a solution-oriented mindset
- Outstanding written and verbal communication skills with professional etiquette
