Position Title Administrative Assistant UIW Mission

Position Summary

The Administrative Assistant is responsible for providing administrative support for the Student Support Services Program. The Administrative Assistant-TRIO reports to the Director of TRIO Programs.

This is a grant-funded position with funding approved through August 31, 2030. Note that the grant can be shortened, renewed, or extended based on the needs of the Department of Education and funds availability.

Job Duties

  • Assist in developing promotional materials for outreach to potential program participants.
  • Manage social and print media.
  • Coordinate materials for workshops, guidance sessions and orientations.
  • Utilize data to prepare program and budget reports.
  • Procure materials and manage program-approved expenses.
  • Update and maintain filing, inventory, mailing, and database systems.
  • Assist in recording participant evaluation and tracking.
  • Collaborate with other departments to maximize potential for program effectiveness.
  • Assist in coordinating academic success activities.
  • Assist in training and oversight of student leaders.
  • Perform other duties as assigned.

Qualifications

Knowledge Skills and Abilities

  • Ability to work with minimal supervision; self-motivated.
  • Able to effectively utilize MS Office to include Excel, Word, PowerPoint, and Outlook or equivalent.
  • Strong interpersonal, written and oral communication skills.
  • Strong attention to detail; strong organization skills.
  • Ability to work effectively with individuals from diverse communities and cultures.
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education

High school diploma or equivalent.

Required Work Experience

Two (2) years of office support experience in a complex office environment.

Preferred Qualifications

  • Experience working with at-risk students, student retention or disability services.
  • Experience with Federal TRIO programs and familiar with current trends in post-secondary retention and graduation strategies.
  • Bilingual: English/Spanish.

Work Hours

Monday through Friday 8am to 5pm with occasional extended hours as needed to meet departmental goals.

Physical Demands

  • Ability to reach overhead, bend, squat to retrieve marketing materials weighing up to 10lbs.
  • Ability to push/pull marketing carts holding up to 25 lbs.
  • Ability to actively engage in events for extended periods of time.
  • Ability to regularly move about campus and event venues to actively engage faculty, staff, and potential/current students, as well as attend meetings on and off campus.

In 1881 the Sisters of Charity of the Incarnate Word founded Incarnate Word College as a center of higher education for young women. The enrollment reflects the diversity of South Texas, as more than 60 percent of the students are from racial or ethnic minority groups. UIW is ranked No. 1 nationally among faith-based universities in the conferring of bachelor’s degrees to Hispanics by the Hispanic Outlook in Higher Education Magazine, and No. 6 nationally among all private, not-for-profit universities.
