POSITION SUMMARY:
The Administrative Assistant in Student Life provides essential administrative and operational support that enables the effective delivery of student services and programs across the division. This position serves as a central point of coordination for office operations specifically within the Center for Student Involvement, including scheduling, communication, records management, and support for divisional initiatives. By interacting regularly with students, faculty, staff, and external partners, the Administrative Assistant helps ensure a welcoming, organized, and student‑centered environment that advances the mission of the division and the University.
DUTIES AND RESPONSIBILITIES:
Administrative & Office Operations: Provides comprehensive administrative support to ensure efficient daily operations of Student Life offices. Responsibilities include scheduling, correspondence, document preparation, records management, file retention, and logistical coordination for meetings, travel, and events. Exercises independent judgment and discretion in handling confidential/time‑sensitive matters.
Coordination, Events & Program Support: Assists with planning and execution of meetings, events, and student activities, including logistics, space scheduling, materials preparation, and follow‑up. Provides direction and operational support to students/parent/staff as assigned.
Financial, Data, & Resource Management: Processes financial and student transactions such as purchase orders, expense reports, billing, deposits, student time entry, and budget keeping.
Monitors supply inventory and budget activity. Runs reports, conducts basic student queries, and prepares information for analysis using Cognos, Banner, or any related systems.
Technology, Systems & Compliance Support: Utilizes and maintains proficiency with university technology systems and standard office software to support divisional operations. Including, but not limited to, Banner, Campus Link, Maxient, Starfish, Microsoft Office, Zoom, Unimarket.
Department specific tasks: Performs additional responsibilities unique to the assigned Student Life department, ranging from supporting processes such as student conduct case management, housing operations, event coordination, wellness initiatives, or career fairs, etc. to ensure the designated office's specialized programs and services run effectively.
Completes other duties as assigned.
