Position: Administrative Assistant – Settlements
Employment Type: Full-Time – 100% In-Office
Salary: $50—65K (DOE)

What We're Looking For
We're seeking a career-minded administrative professional who enjoys settlement support and legal administration. This is not intended to be a stepping stone into a paralegal or attorney role. The ideal candidate enjoys administrative work, thrives on organization and accuracy, and is looking for a long-term opportunity within a collaborative legal team. 

What You'll Do
  • Prepare and maintain accurate settlement disbursement statements.
  • Audit and reconcile case expenses to ensure accuracy and completeness.
  • Request, track, and organize lien, medical, and settlement documentation.
  • Maintain accurate client and settlement information through detailed data entry.
  • Communicate with clients regarding settlement status and respond to routine inquiries with professionalism and empathy.
  • Track documents sent, received, and outstanding while keeping the settlement team informed of progress.
  • Organize and maintain electronic and physical case files.
  • Assist with administrative projects and departmental initiatives as assigned.
  • Provide general administrative support including document preparation, scanning, filing, and correspondence.
  • Ensure deadlines are met while managing multiple priorities in a fast-paced legal environment.

Qualifications
  • 5–7 years of administrative experience, preferably within a law firm.
  • Prior experience supporting settlement administration in a plaintiff personal injury practice is highly preferred.
  • Strong data entry skills with exceptional attention to detail and accuracy.
  • Excellent organizational, analytical, and time management skills.
  • Strong verbal and written communication skills with the ability to handle confidential and sensitive client matters professionally.
  • Ability to prioritize competing deadlines while maintaining a high level of accuracy.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Experience with QuickBooks is a plus, but not required.
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
