Requirements / Qualifications
Under general direction of the District Superintendent, the administrative assistant provides responsible and confidential secretarial and administrative support services to the Superintendent, Assistant Superintendent and the Board of Trustees. The person in this position is highly visible and assists in establishing the proper atmosphere for the District's chief administrator. Therefore, the position requires discretion, initiative, and sound judgment as well as quality technical knowledge, the ability to provide a wide variety of executive secretarial duties, and skills to coordinate a high volume of administrative detail. Consistently ethical behavior and the ability to maintain strict confidentiality are essential. This is a confidential, non-union represented position. This position requires the knowledge of: Principals of public sector administration, State Education Code and District policies and procedures. Some of the required duties may include, but are not limited to the following: Supervises, coordinates administrative support for the Board of Trustees, Superintendent including communications, agendas, meetings, mail, secretarial support. Manages the preparation of Board packet, assisting the Superintendent. Serves as recorder at Board meetings, composes/maintains official minutes. Maintains contact with media, Governing Board, employee groups, professional organizations, and government agencies. Maintains the Superintendent's calendar. Responds to parents and community concerns. Works with schools and departments to resolve concerns of parents and community. Assists in monitoring expenditures, assigns proper budget codes to invoices. Knowledgeable of current laws pertaining to public noticing requirements. Knowledgeable in Education Code and Government Code (Brown Act) to ensure compliance with all legal requirements in the posting of meetings and proper procedures outlined in the law. Performs special assignments and related duties as assigned.
High school diploma is required. A Bachelor's Degree or higher is strongly preferred. At least 5 years of experience or more in Human Resources and experience working with Certificated Staffing and Credentialing is preferred, or combination of experience in HR and a closely-related field are required. Bilingual in English and Spanish is strongly preferred. Please submit an on-line application, a letter of introduction, resume, and three current letters of recommendation.
