General Information:
Serves as executive secretary to District Superintendent and Governing Board. Supervises other clerical personnel assigned to the superintendent's office; performs specialized and complex administrative assistant duties.
Qualifications & Requirements:
A high school diploma or equivalent.
A minimum of 5 years secretarial experience, preferably in a school district setting.
Knowledge, Skills & Abilities:
Ability to communicate effectively verbally and in writing.
Skills in effective human relations.
Must possess a loyalty to the school district and its philosophy.
Ability to deal effectively with matters of confidentiality.
Understanding of administrative and secretarial practices.
Ability to efficiently complete clerical tasks.
Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
Ability to work cooperatively and courteously with staff, students, parents and community members.
Knowledge of applicable federal and state laws, district procedures and Board policies.
Ability to handle confrontation and conflict without an emotional response.
Skills in time management.
Essential Duties & Responsibilities:
Maintains office in a professional, efficient and organized manner.
Completes correspondence, reports, and related material.
Maintains District calendar.
Opens and routes incoming correspondence.
Maintains office files.
Makes appointments for superintendent and maintains daily calendar schedule.
Schedules meetings for superintendent and Governing Board members, arranges appropriate meeting space, and notifies participants.
Receives office visitors, offering assistance or other actions as indicated.
Answers telephone calls and responds to emails.
Revises district directories as necessary with updated contact information.
Completes and distributes additions or changes in District Policies and Procedures after adoption by Governing Board.
Organizes and completes the Board agenda material and arranges for distribution of packets to Board members and designated administrators. Distributes notices of Board meetings to staff and news media and posts public notice at District Administration Center. Coordinates preparation of room for meetings.
Attends all regularly scheduled Board meetings, takes and transcribes meeting notes into detailed written minutes and ensures recording equipment is utilized to document each meeting.
Completes a brief summary of each Board meeting for district publication.
Initiates school district yearly calendars and schedules of Board meetings for review and official acceptance.
Arranges with individual schools on posting of art materials in the display area of the board room.
Receives, organizes, and routes technology-related work orders and phone calls.
