    ADMINISTRATIVE ASSISTANT TO THE EXECUTIVE DIRECTOR OF JOB DESCRIPTION

    JOB TITLE: Administrative Assistant to the Executive Director of Teaching & Learning

    WAGE/HOUR STATUS: Nonexempt

    REPORTS TO: Executive Director of Teaching and Learning

    PAY GRADE: Paraprofessional 070 (230 Days)

    DEPARTMENT: Academic Services

    PRIMARY PURPOSE: Facilitate the efficient operation of the Department of Teaching and Learning and provide clerical services to the Executive Director of Teaching and Learning.

    QUALIFICATIONS:

    Minimum Education:

    • High School Diploma or GED

    Special Knowledge/Skills

    • Knowledge of general office equipment
    • Knowledge of basic accounting principles
    • Proficient skills in typing, word processing, and file maintenance
    • Effective organizational, communication, and interpersonal skills
    • Ability to operate a computer/peripherals using a variety of basic applications
    • Ability to effectively use district programs
    • Knowledge of district accounting procedures, coding, categorical funding, and regulations
    • Proficiency in Google and Microsoft Suite
    • Problem-solver and solutions-oriented
    • Bilingual (English/Spanish preferred)
    • Works well under pressure

    Minimum Experience:

    • At least three (3) years of clerical/secretary experience or other equivalent experience or background

    MAJOR RESPONSIBILITIES AND DUTIES:

    • Perform administrative duties for the Executive Director of Teacher and Learning, which consists of Bilingual/ESl, Curriculum and Instruction, GT/AP, MTSS, and Science Discovery Center
    • Receive incoming calls, take reliable messages, schedule appointments, and maintain the Executive Director's calendars
    • Organize information and materials necessary for various meetings as requested by the Executive Director
    • Secure locations and necessary data and equipment for office and district-wide meetings, including notification of involved persons
    • Perform accounting tasks following established district guidelines, including, but not limited to, those related to budget, requisitions, purchase orders, work orders, bus requests, and the department's travel arrangements
    • Handle incoming and outgoing mail for assigned personnel in the department
    • Monitor, process, and submit personnel payroll reports as required
    • Assist in compiling information to be used in various administrative reports
    • Maintain information of and comply with state, district and school policies or regulations concerning primary job functions
    • Assist in preparing presentations for meetings, conferences, presentations, etc
    • Attend meetings to take notes, prepare minutes, and provide assistance as needed
    • Maintains up-to-date account balances for funding sources
    • Provide support to the Teaching and Learning, Bilingual, ESL, Language Services, LPAC Compliance/Migrant, and Language Testing Center with regards to POs, work orders, etc.
    • Respond to questions and inquiries from parents and community regarding Teaching and Learning, BIL/ESL, GT, and other student support programs as appropriate.
    • Maintain confidentiality in all areas.

    Ability to communicate effectively (verbal and written); perform tasks with frequent interruptions; repetitive hand motions and prolonged use of a computer; interpret policy; maintain emotional control and objectivity under stress.

    Physical Demands/Environmental Factors: Occasional prolonged and irregular hours.

    Safety: Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidences immediately to the supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
