    Description

    We are looking for a talented Administrative Associate - Level II to join our General Management team in Kenner, LA.

    In this role, you will make an impact in the following ways:

    • Serveastheprimarypointofcontactforvisitors,employees,andbusinesspartners,providingprofessionalreceptionandadministrativesupport.

    • Supportday-to-dayofficeoperationsbycoordinatingadministrativeactivities,managingdocumentation,andensuringrecordsareaccurateanduptodate.

    • Assistwithnewhireonboardingandorientationactivities,helpingcreateapositiveandorganizedemployeeexperience.

    • Coordinatemeetings,preparecommunications,takedetailedmeetingnotes,anddistributemeetingminutesandothermaterialsasneeded.

    • Maintainemployeerecordsanduploaddocumentationintocompanysystemswhileensuringaccuracyandconfidentiality.

    • Supportfacilityoperationsbycoordinatingmaintenancerequests,schedulingrepairs,assistingwithpurchaseorders(POs),andprocessinginvoices.

    • Serveasaliaisonforfacility-relatedconcernsandhelpensureissuesareaddressedinatimelymanner.

    • Prioritizemultipleresponsibilitiesinafast-pacedenvironmentwhiledemonstratingastrongsenseofurgencyandattentiontodetail.

    • Buildpositiveworkingrelationshipswithemployeesacrossthebranchandsupportcross-functionalbusinessinitiatives.

    • Completerequiredtrainingonatimelybasis.

    • AdheretoallrelevantHealth,Safety&Environmentalpolicies,procedures,andlegislationandreportanyissuesorincidentstotheirsupervisor.

    Key Responsibilities

    • Providesadministrativeandofficemanagementsupportforbranchoperations.

    • Servesasthefirstpointofcontactforvisitors,customers,andemployees,deliveringexceptionalcustomerservice.

    • Coordinatesonboardingactivitiesandmaintainsemployeedocumentationandrecords.

    • Attendsmeetings,capturesmeetingnotes,anddistributescommunicationsandfollow-upmaterials.

    • Maintainsaccuraterecordsanduploadsdocumentationintointernalsystems.

    • Assistswithfacilitymanagementactivities,includingmaintenancecoordination,vendorcommunication,POcreation,andinvoiceprocessing.

    • Supportsbranchleadershipwithadministrativeprojectsandoperationalinitiatives.

    • Demonstratesstrongorganizationalskills,attentiontodetail,andtheabilitytomanagemultiplepriorities.

    • Handlesconfidentialinformationwithprofessionalismanddiscretion.

    • Contributestoapositiveteamenvironmentwhilesupportingday-to-daybranchoperations.

Education, Licenses, Certifications: High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations. Experience: Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.

    • Provide branch reception and customer service

    • Engage with customers/visitors to identify needs and provide guidance.

    • Ensure contractor HSE compliance/adherence

    • Maintain cash records and perform transactions

    • Ensure HSE inspections are completed and documentation uploaded

    • Maintain branch access to HSE documentation on cloud for compliance, audit and quick reference purposes

    • Supervise facilities projects, monitor and report progress
