As the Administrative Office Manager for Aitken, you play a key role in managing all activities and functions associated with our Houston office. The Administrative Office Manager organizes and prioritizes daily tasks and functions that enable the Operations Teams (Sales, Estimating, and Project Management) to carry out mission-critical objectives. Job Overview -

  • Maintain and order inventory of office supplies (stationary, lunchroom and janitorial).
  • Maintain incoming/outgoing mail process and procedures.
  • Plans, coordinates, and executes the setup of company functions and special events.
  • Maintains building security system.
  • Works with HR and Department Managers on all onboarding and offboarding, ensuring proper equipment ordered and procured.
  • Greets and assist visitors (e.g., vendors, customers, third party contractors, and job interview applicants) ensuring all safety and health office protocols are followed.
  • Provide customer service and support to all assigned Office Departments.
  • Ability to perform company errands during business hours, requires a clean driving record.
  • Document entry for invoicing and billing.
  • Assisting with renewals of building permits as needed.

Experience-

  • 2-3 years of related office administrator experience in a corporate environment whereupon meeting and greeting customers, vendors, and visitors is frequent and upholds highest standards of customer service.
  • High school Diploma or Equivalent required.

Specialized Knowledge - Certificates & Licenses-

As outlined in the Core Competencies, an individual must have thorough knowledge and an advanced understanding of each competency above to conduct the essential functions of this position. Specialized Knowledge is also required in the following areas.

  • Demonstrated knowledge of office procedures related to purchasing and coordination of office materials and equipment.
  • Knowledge of building safety, building compliance, and waste removal standards, a plus.
  • Bilingual, a plus.
