The Role: The Campus Visits Manager will direct the campus visits program. This position is responsible for managing a comprehensive campus visitation program focusing on the recruitment goals of CWU while working with prospective students, parents, administrators, faculty, and staff. The position plans and executes opportunities to serve individuals who are interested in or need assistance discovering all that Central Washington University (CWU) and the region have to offer. This position will interact, communicate, and serve internal and external departments and/or constituents of CWU including working directly with the Director of Early College Outreach & Campus Visits, staff members from Campus Visits, Orientation, Early College Outreach, the Office of Admissions, and other campus partners in various capacities related to new student recruitment and outreach.

Job Duties

Visitation Program:

  • Oversees all aspects of the CWU Campus Visits Program, which includes the coordination of on-campus events for prospective students, parents, and families such as daily tours, Saturday tours, virtual programming, and implementing new and innovative visitation programs for prospective students and early outreach efforts/initiatives.
  • Develop and align tour content and programming with attention to university strategic enrollment goals.
  • Develops and implements innovative, strategic approaches to support and advance the universitys enrollment goals.
  • Coordinates campus ambassador calling campaigns.
  • Collaborate with programs and departments within CWU to provide support for their recruitment events in the form of staff support as well as CRM assistance.
  • Coordinates CWU students to call all registered visitors to provide and to answer any questions before the visit and to follow-up communications using a customer relationship management (CRM) tool.
  • Provides general Admissions and University information to the public.
  • Counsels drop-in prospective students and their families regarding questions concerning admissions and general campus and regional information.
  • Provides assistance to prospects in the application process and next steps in the admissions process.
  • Provides general information on financial aid resources.
  • Delivers Admissions presentations to visitors using established verbal and branded presentations.
  • Creates informational reports that include; summaries of visitor questions, survey responses, and provides reports to the supervisor on a monthly basis.
  • Monitors transfer activities budgets; prepares budget proposals and reports as needed.
  • Maintain and update Campus Visits website.
  • Develop and update Slate (CRM) communications, events, and student registration forms.
  • Develops and establishes procedures for Campus Visits.
  • Develop cross-campus relationships with programs and departments who can provide a variety of information and activities to groups visiting campus.

Supervisor Duties:

  • Actively engages in the recruitment, hiring, training, and mentoring of employees.
  • Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring. Conducts formal performance evaluations.
  • Supervises full-time staff and student employees, providing support, guidance, and feedback to ensure smooth daily operations.
  • Oversees and directs the work of staff; serves as mentor, coach and leader, and resolves complaints or issues.
  • Promotes professional development opportunities.
  • Develops and fosters supportive working relationships, motivation and engagement.
  • Communicates information to staff on an ongoing basis to influence staff engagement and to be a part of a larger community.
  • Takes corrective action in a timely manner.
  • Schedules employee work hours/shifts; monitor hours worked; approve payable time and absence requests.
  • Adjusts leadership style as needed to achieve positive results.
  • Develop and assess student employee budgets, quarterly and annually.
  • Perform other duties as assigned.

Minimum Qualifications

  • At least 4 years of progressively responsible experience in working with and communicating with various levels of internal and external constituents in visitation programs, or a related field and/or a bachelors degree in a related field.

  • Proven success with event planning, both large and small.

  • Experience in presenting to small and larger groups in various settings.

  • Experience leading teams to collaborate effectively and deliver results.

  • Demonstrated experience supervising, hiring, training, and developing staff and student employees.

  • Strong speaking, writing, and interpersonal communication skills.

  • Basic computer skills: Microsoft Office, presentation software, video conferencing (Zoom, Microsoft Teams), emailing, web and social media skills.

  • Experience in collaborative decision-making.

  • Experience problem-solving and effectively communicating in situations with competing priorities and in high-pressure situations.

  • Experience creating a variety of reports, proposals, and training documents.

  • Demonstrated ability and/or experience fostering a supportive and effective workplace while working with students and/or colleagues to uphold institutional excellence.

  • OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

Preferred Qualifications

  • Professional experience working in college admissions or a related service setting.
  • Experience with visitation or tour programs.
  • Ability to think critically, analyze data, make difficult decisions and solve complex problems in high-stress environments.
  • Experience with customer service relations (CRM) software e.g., Slate
  • Experience working in a high-energy, fast-paced environment.
  • Experience or interest in mentoring students from a variety of backgrounds.
  • Life experiences that demonstrate an ability to contribute to CWUs vision, mission, and values.
  • Written and verbal bilingual skills (Spanish/English).

Pay, Benefits, & Work Schedule

Salary: This position is based on the range 45 of the Washington State Classification Listing, which has a minimum annual salary of $49,296 and maximum annual salary of $66,072. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidates current experience, education, skills, and abilities related to the position.

Schedule/Appointment: Varies / Evening and weekend hours required.

Working Conditions: Campus tours are offered outside in all weather conditions e.g., heat, rain, ice, and snow. Planning and supervision are usually performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, walk long distances in all weather, perform extensive data entry and other computer-related tasks, and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel is required
